Key Responsibilities

  • Review and audit freight, warehouse, and related logistics invoices for accuracy and compliance with contractual agreements and shipment records.
  • Verify charges against transportation contracts, rate agreements, and supporting documentation.
  • Prepare, code, and process freight-related vouchers and payables.
  • Investigate, dispute, and resolve billing discrepancies with carriers, warehouses, and other service providers.
  • Maintain accurate records of freight transactions, audits, and payment activities.
  • Monitor freight expenses, identify trends, and recommend cost-saving opportunities.
  • Support continuous improvement of logistics invoice and payment processes.
  • Provide backup support for transportation coordination activities, including truck and rail movements of finished goods.
  • Create and maintain daily, weekly, and monthly logistics performance reports.
  • Generate and distribute freight audit reports, operational metrics, and key performance indicators (KPIs).
  • Support the collection of reimbursement for freight-related costs when applicable.
  • Build and maintain positive working relationships with internal stakeholders, carriers, suppliers, and third-party logistics providers.
  • Aid in the development, documentation, and implementation of standard operating procedures (SOPs) and logistics protocols.

Qualifications

  • Knowledge of transportation, logistics, and supply chain operations, including contract administration and compliance.
  • Familiarity with transportation agreements, carrier contracts, and freight rate structures.
  • Understanding of standard office administration practices and procedures.
  • Proficiency with Transportation Management Systems (TMS), Microsoft Office applications, and advanced Excel functions, including PivotTables.
  • Strong analytical and problem-solving skills with the ability to identify root causes and recommend practical solutions.
  • Strong numerical aptitude and attention to detail.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Effective written, verbal, and interpersonal communication skills.
  • Ability to work independently and exercise sound judgment in decision-making.
  • Ability to identify and implement cost-effective logistics solutions.
  • Ability to ensure compliance with contractual obligations and company policies.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Ability to remain composed and effective in a fast-paced environment.

Education and Experience

  • Associate degree in Supply Chain Management, Logistics, Transportation, Business Administration, or a related field required; bachelor's degree preferred.
  • Minimum of three (3) years of experience in logistics, transportation, freight administration, or supply chain operations.
  • Experience with freight auditing, transportation coordination, and carrier management preferred.
  • Experience supporting rail transportation, warehousing, manufacturing, or distribution operations is a plus.
