Supervisory Administrative Assistant, OSSS (Internal Candidates Only) - 26022
Provides direct customer service for all supervisory pedagogical staff employed by the New York City Public Schools (NYCPS), including Principals, Assistant Principals, Education Administrators, and other Supervisors, as well as applicants for supervisory positions, HR Directors, and field support staff. Acts as the first point of contact in the Office of Supervisory Support Services (OSSS) for inquiries related to candidate eligibility, staffing, salary placement, application support, New York State certification, licensing, leaves, study sabbaticals, separations from service, and other supervisory services.
Responsibilities
- Serves as the first point of contact within the department for general telephone, email, or walk-in inquiries.
- Provides customer service for supervisory HR transactions, including:
- Reviews, verifies, and maintains all documentation related to supervisory staffing.
- Assists with various staffing and salary issues as needed.
- Verifies candidate eligibility based on New York State supervisory certification, underlying teacher certification, and years of NYCPS service.
- Troubleshoots complex issues and escalates when needed; follows up on open issues until resolved.
- Assists prospective supervisors with issues regarding eligibility, including scrutiny of State certification and prior experience.
- Works closely with Supervisory Information Specialists and C-30 Coordinators to ensure smooth and efficient workflow.
- Ensures all supervisory personnel records are kept up to date, properly filed, and inactive files are archived regularly; provides scanned copies upon request.
- Works closely with Teacher Records to fulfill legal requests for supervisory personnel files.
- Performs general office duties, including filing, maintaining the office environment, coordinating repairs and servicing of office equipment, and managing office supply inventory.
Requirements
- Minimum: High school graduation or equivalent and three years of experience in community work or community-centered activities related to the duties described; or equivalent education and/or experience.
- In addition to the minimum requirements, individuals must have two additional years of the experience described above.
- Excellent spoken, listening, problem-solving, and coaching skills.
- Attention to detail and follow-through.
- Strong organizational and time management skills.
- Proficient in Microsoft Office 365 applications.

Pay
$51,094 - $56,203 (Internal candidates who are selected for this position and who currently hold comparable or less senior positions within the DOE will not earn less than their current salary.)
