Set daily coverage expectations, assign priorities, monitor service gaps, and ensure backup coverage is in place for absences, peak periods, events, and urgent requests. Lead, train, and mentor the Coordinator, Workplace Operations; manage task assignments, standards, accountability, and service escalation paths. Maintain a clear responsibility model so each operational area has a primary owner, backup support, and escalation process.
  • Mailroom Management Manage mailroom operations including incoming/outgoing mail, package handling, courier coordination, chain-of-custody standards, service-level compliance, exception resolution, and mailroom reporting. Manage mailroom equipment and hardware. Review mailroom volumes, delivery accuracy, delayed items, package exceptions, and recurring issues to identify process improvements and staffing needs. Execute print and other special jobs.
  • Retail Store Management Oversee retail store operations, including merchandising standards, retail inventory availability, POS (Shopify) activity, shrinkage controls, stock rotation, vendor ordering coordination, and sales/activity reporting. Ensure retail usage, stock-outs, product mix, vendor issues, and employee service feedback to maintain the retail store as a reliable workplace amenity.
  • Food & Beverage Management Manage the food, beverage, coffee, pantry, and hospitality supply program, including procurement through inventory management. Place orders and manage procurement processes for food, beverage, and hospitality supplies. Track and report on all SKUs. Ensure items are stocked at all times and controls are in place to ensure no outage.
  • Security Card Management Own oversight for security card/badge administration, including issuing and terminating security badges. Ensure security card activity is accurately logged, exceptions are escalated, and access-control processes are followed consistently. Run and analyze occupancy reports. Ensure data quality is accurate along with process controls to audit for accuracy.
  • Property Coverage & Workplace Readiness Manage property coverage for workplace readiness, meeting rooms, common areas, storage areas, mailroom, pantry, retail store, equipment & furniture checks, and service issue escalation. Track and report all property issues through resolution, including maintenance requests, readiness gaps, vendor follow-up, safety/cleanliness observations, and recurring service concerns. Set up and tear down meeting rooms including but not limited to furniture and food & beverage. Act as front of house for a guest e.g., Virtual Receptionist.
  • Reporting, KPI Review & Continuous Improvement Create and review a weekly/monthly operational reporting package covering mailroom, retail store, food and beverage, inventory, stock-outs, reorder activity, security card activity, property issues, workplace readiness, and KPI performance. Analyze trends, identify coverage gaps, recommend corrective actions, and communicate service performance to leadership. Track and report budget items including purchase orders, invoices, waste, recurring service, emergency exceptions, etc. Maintain or support routine reporting for mailroom volumes, package exceptions, inventory availability, stock-outs, retail/POS activity, food and beverage usage, security card activity, workplace readiness, service issues, and open property items. Escalate gaps that could affect daily coverage for the 160-person population, including low inventory, mail delays, badge/security card issues, retail store issues, meeting room readiness gaps, or property work order risks. Use consistent checklists, trackers, logs, and report templates so daily execution data can be rolled into weekly/monthly operational reporting. Process vendor invoices, reconcile invoices accurately, and maintain financial tracking documentation.
