Under the general supervision of the Assistant Director or Operations Coordinator, the Supervisor of Campus Services organizes, schedules, coordinates, and supervises work assignments in the Operations Unit of the Facilities Management Department.

About the role

Responsible for cleaning and maintenance in all assigned buildings. Ensures the completion of all custodial services and supervises all Senior Campus Service Workers, Campus Service Workers, and Maintenance Workers.

Responsibilities

  • Supervise the daily activity of all Campus Service Workers and Senior Campus Service Workers in general and specific building services functions.
  • Make frequent evaluations of the performance of all custodial personnel assigned under their jurisdiction.
  • Demonstrate to employees the work methods and operations of equipment as required for safe and efficient performance of their duties.
  • Inspect Campus Service Workers assigned facilities and equipment.
  • Coordinate repair work with the maintenance unit.
  • Communicate with students, student staff, and faculty to schedule work and service requests.
  • Develop a working knowledge of the physical facilities and supporting equipment such as air-conditioning/heating systems, electrical control panels, lighting, and plumbing systems necessary to make minor adjustments from normal operation and to correctly respond to possible emergency situations.
  • Assist the Assistant Director in identifying and prioritizing deferred maintenance projects.
  • Interview applicants and make recommendations on candidate selection.
  • Work with Operations Coordinator and HR to counsel and discipline employees.
  • Perform annual employee performance appraisals.
  • Supervise the cleaning and maintenance of interior and exterior appearance of all buildings and grounds.
  • Maintain employee time records in accordance with WVU HR, Shared Services, and State compensation policy guidelines.
  • Monitor the electronic time recording system to ensure employees are paid correctly and that their sick and vacation balances are routinely reconciled and remain accurate.
  • Use various software systems to maintain automated inventory of all furnishings, equipment, and supplies.
  • Utilize electronic work order system to order operational supplies and ensure materials are received in quantities ordered, periodically checking materials for quality assurance.
  • Monitor personnel budget expenditures to ensure temp, contracted, and full-time staff are not working in excess of available allotted annual funding.
  • Monitor material orders by staff to ensure the set annual budget is efficiently utilized and that sufficient funds are maintained to cover all 12 months of the fiscal year.
  • Assist Operations Coordinator in forecasting future operational budgets.
  • Routinely monitor electronic work system for work requests, prioritize, and assign work orders to staff, documenting results in the work order system.
  • Arrange work shifts and schedule any special assignments as required to ensure all housekeeping requirements are met.
  • Evaluate and select new cleaning products, materials, and equipment.
  • Conduct frequent inspections of all assigned areas to ensure all work is carried out in a proper and orderly manner in compliance with WVU standards.
  • Determine requirements for special set-up or arrangements in buildings assigned through direct contact with sponsoring organizations.
  • Order, secure, and distribute supplies, submitting requisitions to the warehouse to ensure all materials are on hand for every job.
  • Continually monitor and make staffing scheduling adjustments to meet routine facility responsibilities and special WVU-sponsored or community events.
  • Conduct frequent inspections to ensure all work is completed safely, uniformly, and in a timely fashion to WVU standards.
  • Schedule and implement the unlocking/locking of individual buildings, classrooms, and meeting rooms, ensuring these areas are ready for occupancy.
  • Inspect all facility rooms/spaces for condition regarding safety, sanitation, and maintenance, documenting findings, creating work orders, assigning tasks, and initiating billing if necessary.

Requirements

  • High School diploma or GED required; Associate degree preferred.
  • A minimum of three (3) years in each of the following:
    • Personnel management experience (supervising 6 or more employees preferred).
    • Experience in custodial equipment, chemicals, and procedures.
    • Budget management and purchasing experience.
    • Experience using computers and various software programs.
  • A minimum of one (1) year in the following:
    • Experience using electronic time management systems is highly preferred.
  • Any equivalent combination of related education and/or experience will be considered.
  • Valid State Driver's License.

Skills

  • Knowledge and ability to interpret all appropriate safety codes, electrical codes, etc.
  • Knowledge of warehousing functions.
  • Knowledge of all types of industrial cleaning equipment and power tools, including proper repair and maintenance of such equipment.
  • Knowledge of building operations management, general maintenance systems, and housekeeping techniques.
  • Supervisory skills and the ability to communicate and resolve employee issues.
  • Ability to develop detailed records and plans to meet operational needs.
  • Ability to prioritize and delegate duties.
  • Office and organizational skills.
  • Ability to effectively manage multiple activities and/or projects simultaneously and work in a high-change environment.
  • Ability to gain a working knowledge and understanding of systems throughout the facilities, including HVAC, plumbing, electrical, lighting, fire, building security, cable TV, data/telephone, and elevator systems.
  • Technical knowledge of bloodborne pathogens, molds, and hazardous microbes to ensure proper disinfection and personal safety.
  • General good stamina, including standing, lifting 50 lbs or greater, carrying, bending, and stooping.
