Founded in 1968 to meet the post-secondary and continuing education needs of Cecil County residents, Cecil College has been serving the community and shaping its future for more than 50 years. The College is governed by a Board of Trustees appointed by the governor, with the fifth president, Dr. Mary Way Bolt, reporting directly to the Board. Located in Maryland’s most northeastern county, just half a mile from Interstate 95, Cecil College is easily accessible from Philadelphia, Baltimore, Wilmington, Delaware, and surrounding areas. The College enrolls approximately 2,500 credit students and 3,400 non-credit students, offering associate degrees, certificate programs, and non-credit classes through an open admissions policy.

Employees, including instructors for online and virtual courses, must reside in Maryland or the contiguous states of Delaware, Pennsylvania, Virginia, West Virginia, or the District of Columbia. Applicants must be currently authorized to work in the U.S., as the College does not offer visa sponsorships.

About the Role

The Supervisor of Events and Auxiliary Services is responsible for planning, coordinating, and overseeing campus events, auxiliary services, and related operational activities. This position ensures facilities, equipment, staffing, and support services are effectively coordinated to provide high-quality experiences for students, employees, guests, and community partners. The role involves collaboration across departments to ensure events and auxiliary operations are safe, efficient, financially responsible, and aligned with the College’s mission and strategic priorities. The Supervisor also oversees duplication and mail/package receiving and distribution operations, provides administrative support for the Facilities Department, and supervises full-time, part-time, temporary, and student employees.

Responsibilities

  • Plan, coordinate, and supervise the logistical requirements for college-sponsored events, meetings, conferences, ceremonies, and external rentals.
  • Coordinate event setup and breakdown, including furniture, equipment, technology, signage, and other support services.
  • Develop and maintain event schedules, work orders, setup diagrams, and staffing plans.
  • Serve as the primary point of contact for space reservations, event organizers, and campus departments.
  • Conduct pre-event planning meetings and site walkthroughs as needed.
  • Ensure event spaces are properly prepared, maintained, and restored following events.
  • Monitor events to address operational issues and ensure a positive guest experience.
  • Supervise auxiliary services, including campus rentals, space reservations, vending, catering coordination, parking, summer programs, and other revenue-generating services.
  • Develop policies, procedures, pricing structures, and service standards for auxiliary operations.
  • Monitor service delivery and identify opportunities to improve efficiency, customer service, and revenue generation.
  • Maintain accurate records related to facility usage, rentals, services, invoices, and operational expenses.
  • Perform or schedule maintenance and preventive maintenance on setup-related equipment.
  • Oversee mail/package receiving and distribution, as well as duplication departments, including coordination, supervision, budgeting, and policy review.
  • Serve as the fill-in operator for mail/package receiving and distribution as needed.
  • Provide administrative support, including entering work orders, vendor invoice collection/reconciliation, processing requisitions, scheduling, and record-keeping.
  • Assist with vendor/contractor management, including document submittals/retrievals (COI and W-9), scheduling, and follow-up communications.
  • Ensure compliance with all local, state, and federal safety and environmental regulations, as well as College rules and policies.
  • Other duties as assigned.

Requirements

  • Associate degree required. Applicants in the process of obtaining an associate degree may be considered but must commit to completing the degree within one year of hire.
  • Three years of supervisory experience.
  • Three years of experience in event planning.
  • One year of general maintenance experience preferred.
  • Valid Driver’s License with a satisfactory driving record.

Skills

  • Ability to work collaboratively across the campus community.
  • Professional oral and written communication skills.
  • Technical proficiency in computer software and general computer setup.
  • Knowledge of event planning, including floor planning, caterer contracting, linen rental, and event billing.
  • Sound decision-making and high-level interpersonal skills.
  • Ability to work under pressure in front of large groups.
  • Must be available to work flexible hours, including evenings and weekends, as needed for events.

Physical Demands

  • Must be able to lift and move up to 75–100 lbs. regularly.
  • Must be able to pull/push rolling carts/dollies weighing up to 375–400 lbs. occasionally.
  • Physical activities include climbing, walking, stooping, kneeling, crouching, reaching, standing, pulling, lifting, grasping, twisting, and sitting.
  • Exposure to dust, noise, fumes, and odors; inside and outside environmental conditions.
  • Safety equipment will be provided and required where necessary.

Pay

This is a non-exempt (hourly), overtime-eligible position at Grade 110, with a pay scale of $21.96–$35.14/hour. The budgeted hourly rate for this position is $25.00–$27.50/hour. Initial salary placement is based on internal equity and relevant candidate experience.
