Responsibilities
- Oversees team members and leads by example to ensure patients and visitors are greeted in a prompt, courteous and helpful manner.
- Maintains a clear understanding of the office's operational flow and ensures that team members and patients are aware of delays.
- Develops and enforces work schedules for team members and maintains a master work schedule.
- Works with the practice administrator to set and achieve goals and objectives for the office.
- Coordinates activities between clinical and clerical teams to enhance teamwork and communication.
- Serves as a liaison between the practice administrator, providers, and team members, addressing facility issues through coordination of property work orders and repairs.
- Ensures the office has adequate inventory while monitoring purchases to stay within budget parameters.
- Assists with monthly report preparations, including new patient volumes, expense variances, OT explanations, and revenue.
- Keeps collected monies safe according to practice protocol.
- Assists in overseeing billing practices, ensuring timely and accurate completion of key functions, including data entry, charge and payment posting, and end-of-day procedures.
- Keeps abreast of reimbursement procedures and insurance requirements and communicates necessary information to team members.
- Runs billing reports regularly, such as appointment reconciliation reports, and stays informed about visit data.
- Adheres to HMH organizational competencies and standards of behavior.
Qualifications
- High school diploma, general equivalency diploma (GED), or equivalent programs.
- Prior supervisory experience or minimum two years of experience in a medical office, and two years progressively responsible clerical/secretarial experience involving public contact.
- Excellent communication skills, leadership abilities, positive attitude, ability to multitask, organized, and flexible.
- Computer skills including Microsoft Excel, Word.
- Secretarial science education or Associates degree in health or business administration, or equivalent work experience, preferred.
- EMR experience preferred.
