About the role
Organizes and directs office services and operations. Directly supervises and manages all assigned support staff. Oversees timely and accurate completion of support staff work and ensures adherence to office standards, procedures, and protocols. Assists in providing day-to-day management for various clinical and support activities.
Responsibilities
- Standardize office procedures and initiate policy and procedure changes.
- Direct department operations to prepare and retain records, files, and reports.
- Plan office layouts, requisition office supplies and equipment, and initiate cost reduction programs.
- Interview and select new support employees, organize orientation to train new employees in operational procedures, evaluate the performance of secretarial/clerical staff, and recommend salary adjustments.
- Coach and counsel staff for performance problems up to termination.
- Coordinate and direct special quality improvement pilots and projects involving office staff.
- Develop, maintain, and revise office procedures and systems to ensure efficient, effective operations.
- Analyze workflow to assure maximum staff utilization.
- Develop and maintain office procedures relative to the delivery of quality health care and patient relations.
- Assure that personnel, space, furniture, and equipment needs of the office are met.
- Coordinate on-call and provider schedules.
- Function as a resource to operations in designing and implementing workflow changes that will increase efficiency and effectiveness.
- Perform other duties as required or assigned.
Requirements
- Associate’s degree with 3 years of secretarial experience or equivalent required.
- Proven leadership and organization skills desired.
