Supervising Medical Records Specialist

About the Role

Harlem Hospital Center, a cornerstone of the Harlem community since 1887, is seeking a dedicated professional to supervise, direct, and coordinate programmatic aspects of its medical record department. This role ensures optimal resource utilization, compliance with regulations, and improved outcomes through coding and reporting.

Responsibilities

• Supervise and train medical record personnel.
• Analyze clinical records for completeness and accuracy.
• Perform monitoring activities, including studies and audits for medical research and data quality control.
• Assign and reassign staff to meet work requirements.
• Confer with and evaluate subordinate personnel’s work performance.
• Coordinate the work of several units within the medical record department.
• Instruct health care setting employees on required medical record documentation formats.
• Investigate and resolve issues related to chart retrieval, information requests, incomplete charts, and other medical record functions.
• Assist with preparations for surveys and audits.
• Analyze charts for compliance with federal, state, medical staff, and regulatory agency requirements.
• Attend meetings related to medical records matters.
• Review periodic reports, statistical abstracts, and other records.
• Perform duties of an Associate Medical Record Specialist as needed.

Qualifications

Candidates must meet one of the following qualifications:

• Bachelor's degree in Health Information Administration (HIA) or Health Information Technology (HIT) from an accredited program (e.g., AHIMA or CAHIIM) and one year of experience in coding and/or abstracting medical records in a health care setting.
• High school diploma or equivalent, completion of a coding, medical record technology, or HIT program approved by a nationally accredited agency (e.g., AHIMA or CAHIIM), and two years of experience in coding and/or abstracting medical records in a health care setting.
• Certified Coding Specialist (CCS) by AHIMA, Certified Professional Coder (CPC) by AAPC, or Certified Medical Billing Specialist (CMBS) by MAB, and two years of experience in coding and/or abstracting medical records in a health care setting.
• Four years of experience in coding and/or abstracting medical records in a health care setting, including one year in a supervisory capacity.

All candidates must have a high school diploma or equivalent approved by a State’s Department of Education or a recognized accrediting organization.
