About the Role
This on-call/substitute position provides a variety of office support functions, including receptionist activities, composing and typing correspondence and reports, record tracking, customer service, computer operation, custom report production, and other support tasks.
Responsibilities
- Greet students, parents, staff, and the public; answer telephone and in-person inquiries; promote positive public relations for the district.
- Operate a computer and various software packages, including word processing, spreadsheet, database, desktop publishing, and system applications.
- Provide clerical and office support, such as typing correspondence, reports, and memoranda; maintain files and building forms; copy materials for meetings and parent distribution; perform other office tasks as directed.
- Support administrators with projects as needed.
- Model appropriate and cooperative behavior, including protecting confidential information.
- Receive, open, date stamp, and route incoming mail; screen mail and take action on appropriate items (as needed).
- Coordinate student assistants and volunteers assigned to the office (as needed).
- Assist with setup for building events (as needed).
- Perform related duties consistent with the scope and intent of the position.
Mental Demands
- Frequent interruptions and shifting priorities; ability to adapt to changing demands and re-channel work efforts.
- Requires concentration and attention to detail.
- Must occasionally work with distraught or difficult parents and students.
Physical Demands
- Ability to lift and/or move up to ten (10) pounds.
Requirements
- High School diploma or GED; college-level coursework preferred.
- Bilingual (English/Spanish) preferred.
- Knowledge and awareness of cultural identity and its influence on behavior, with a desire to learn about others’ cultural identities.
- Ability to establish and nurture an environment that promotes cultural competence and equitable treatment of staff, students, and patrons.
- Effective communication skills and the ability to maintain working relationships with students, parents, staff, and the public.
- High-level keyboarding and data entry skills; proficiency in operating office machines and learning specific software programs.
- Skill in correct grammar and spelling; ability to proofread and make corrections.
- Ability to compose and format correspondence.
- Ability to maintain accurate files and records, organize, and prioritize work.
- Required to maintain confidentiality.
- Fingerprinting and background check to ensure no convictions involving physical molestation, abuse, injury, or neglect of a minor.
- Must complete Walla Walla Public Schools Risk Management and Bloodborne Pathogens Training upon hire.
Schedule
On-call as needed.
Reports to the building administrator and substitute coordinator.
