About the role
Milwaukee, WI – Seeking Studio Operations Coordinator Join our team as a Studio Operations Coordinator at MOOV Health & Wellness, where we are focused on outpacing aging through a physician-guided, personalized approach to wellness.
Responsibilities
- Provides administrative and operational support to the Studio Manager to keep the studio running efficiently.
- Performs general office duties, including monitoring inventory and ordering supplies to replenish stock.
- Works with outside vendors and service providers to maintain the upkeep and usability of the studio and its equipment.
- Schedules patients per protocol in the studio’s EHR system.
- Inspects charts from providers and staff to ensure proper documentation, including ancillaries, tests, and results.
- Conducts patient call-backs as requested by the provider to communicate results accurately.
- Notifies the Studio Manager of issues and concerns in a timely manner.
- Follows standards and procedures to maintain a safe, secure, and healthy work environment.
- Notifies the Studio Manager of equipment malfunctions.
- Performs clinical procedures within scope and per protocol: phlebotomy / blood sampling, vitals, and injections, under the supervision required by state law.
- Prepares treatment rooms and equipment; ensures supplies are ready and consents are signed and verified before any procedure begins.
- Accurately labels and documents all injections and medication handling, per protocol and a valid provider order.
- Supports charting and documentation; uploads reports and images to the patient chart accurately and promptly.
- Supports budget tracking and helps identify cost-containment and process-efficiency opportunities.
- Partners with the Studio Manager to identify and implement process and workflow improvements that increase efficiency and improve the patient experience.
- Participates in training, in-services, and staff meetings; supports the rollout of new studio processes and onboarding as needed.
Requirements
- High school diploma or equivalent required.
- Five (5) years of experience as an operations/office coordinator or in a comparable studio operations role required.
- Relevant clinical training and experience sufficient to perform the clinical-support duties listed required.
- Current Medical Assistant or other relevant certification from an accredited institution unless otherwise specified by the individual State’s requirements that allow on-the-job training in lieu of certification required.
- Proof of BLS certification is required for on-the-job training in lieu of certification required.
- Associate degree in a relevant field preferred.
- Experience in accounting, finance, or practice operations preferred.
- Experience as a coordinator in an outpatient studio or wellness setting preferred.
- Solid understanding of studio operations and office procedures preferred.
- Knowledge of studio operations, clinical documentation, and compliance.
- Intermediate knowledge of EHR and practice-management systems.
- Skilled with Microsoft Office 365, particularly Excel and Teams.
- Strong organization, prioritization, and time-management skills with a productivity-driven demeanor.
- Knowledge of and ability to maintain accurate records and confidentiality (HIPAA / PHI).
- Solid verbal and written communication; professional demeanor; strong interpersonal and teamwork skills.
- Ability to follow facility and OSHA safety rules and procedures.
