About the Role

Under the supervision of the Associate Vice President, Student Success & Engagement, this position performs complex, confidential, challenging, and fiscal responsibilities in support of the AVP and assigned areas, Student Affairs Sr. Management, and the VP's office, ensuring compliance with regulations and requirements. This role requires broad knowledge of campus systems and the ability to assess, formulate, and evaluate the impact of recommended or implemented policies from an operational perspective. The position handles routine matters independently, seeking assistance from supervisors only for more difficult problems or situations. It provides equitable, inclusive, and culturally sensitive services that enhance the quality of campus life, using a student-centered and equity-minded approach in all communications and service efforts.

Responsibilities

  • Oversees and coordinates daily operations, processes, and resources to ensure efficient, effective, and seamless program or departmental functioning.
  • Manages budget-related activities, financial tracking, purchasing, and reporting to support responsible stewardship of program or departmental funds.
  • Supports the administration and delivery of services, programs, and residential operations for the CSULB Village Program, fostering a safe, inclusive, and engaging living-learning environment for student residents at CSULB's Beachside Village.
  • Serves as an effective liaison for students, parents, faculty, staff, community members, and external partners, providing exceptional customer service, facilitating communication, resolving concerns, and ensuring timely dissemination of information.
  • Develops and implements processes, coordinates programs and events, prepares correspondence and reports, maintains records and databases, and supports divisional priorities while exercising sound judgment, discretion, and attention to detail.
  • Manages budgets, monitors expenditures, reconciles accounts, processes procurement and travel transactions, coordinates payroll activities, and ensures compliance with university policies and procedures.
  • Analyzes financial data, identifies discrepancies, prepares budget projections and reports, and provides recommendations that support responsible fiscal stewardship.
  • Coordinates hiring and recruitment processes, tracks supplemental funding sources, and maintains accurate financial and payroll records.
  • Provides leadership and coordination for the CSULB Village Program, overseeing program operations, events, assessment activities, communications, and stakeholder engagement efforts.
  • Collaborates with campus departments, community organizations, and external partners to expand resources, support student engagement, and advance student success initiatives.
  • Coordinates program logistics, monitors budgets, maintains documentation, develops promotional strategies, and evaluates program outcomes to ensure continuous improvement.

Requirements

  • Equivalent to a bachelor's degree in a related field and two years of administrative support experience.
  • Master's degree in a related field preferred.
  • Possession of a valid California Driver's License to operate a University cart or personal vehicle for business (preferred).
  • Ability to communicate with an ethnically and culturally diverse campus community.
  • Ability to follow all university policies, procedures, and guidelines, including safety, civility, information security, and non-discrimination policies.
  • Ability to contribute to a positive university experience for students and assist in achieving the university's commitment to a "vision of excellence."

Skills

  • Highly organized and proactive administrative professional with strong operational, fiscal, and program coordination experience, preferably within a higher education environment.
  • Ability to manage complex administrative functions in support of senior leadership, including coordinating calendars, meetings, travel, communications, special events, and strategic initiatives.
  • Strong financial and analytical skills, with experience managing budgets, monitoring expenditures, reconciling accounts, processing procurement and travel transactions, and ensuring compliance with university policies.
  • Strong project management and organizational skills, with the ability to coordinate program logistics, monitor budgets, maintain documentation, and evaluate program outcomes.
  • Commitment to student success, inclusive community building, operational excellence, and the effective support of university and Student Affairs goals.

Benefits

To be eligible for full benefits, employees must be appointed at least half-time (.50 FTE) with an appointment lasting more than six months and one day. Benefits eligibility and offerings may vary based on appointment type, classification, and applicable collective bargaining agreement.

Pay

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

  • Hiring Range: $4,799 (Step 1) - $5,736 (Step 10) per month.
  • CSU Classification Salary Range: $4,799 (Step 1) - $6,992 (Step 20) per month.

Schedule

  • 1.0 time-base, 40 hours per week.
  • This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.

Additional Information

  • Medium work - Job involves lifting heavy weight objects (20-40 pounds) and/or 20% - 40% of the job involves standing, squatting, kneeling, or walking. May require pushing or pulling objects within the weight limits.
