About the role

Reporting to the Associate Director, the Student Records and Systems Coordinator supports Penn Abroad's student records administration, data management, and operational activities. This role is a core part of the inbound Exchange at Penn team and collaborates with Penn Abroad program teams to deliver global learning opportunities. Key responsibilities include administering the study abroad application management system, overseeing student records, supporting application and registration processes, generating reports, and ensuring data accuracy across multiple University systems. The position also provides broader administrative support, including front-line communications, reception, purchasing, and office-wide initiatives.

Responsibilities

  • Administer Penn Abroad’s study abroad application management system, supporting technology requests, maintaining accurate data, and ensuring adherence to standard practices.
  • Provide administrative support for global programs, including processing registration and application materials, transferring information across university systems, and maintaining student records.
  • Coordinate reporting and data support for Penn Abroad and partners by generating recurring and ad-hoc reports and preparing enrollment and operational data reports.
  • Provide customer service and administrative support, including managing financial processes, purchasing, shared inboxes, and serving as backup for office phones and reception.
  • Perform other duties and responsibilities as assigned.

Requirements

  • High School diploma/GED and 5 to 7 years of experience, or an equivalent combination of education and experience; Bachelor’s Degree preferred.
  • Strong organizational skills and attention to detail.
  • Proficiency in working with databases, spreadsheets, and generating reports is strongly preferred.
  • Experience studying or interning abroad is strongly preferred.

Pay

$21.52 - $25.00 hourly, based on the candidate’s qualifications, experience, skills, and education, aligned with external market data and internal peer benchmarks.
