About the Role

The Counselor of Student Financial Services will assist in the daily operations of the Student Financial Services Offices, ensuring professional, efficient, and compliant processing of student records. This role supports Campus Operations and serves as a primary member of the Student Financial Services division, providing student-centered service to traditional, non-traditional, adult, and minority student populations.

Responsibilities

  • Process the daily workflow of the Student Financial Services staff; assist with projects and assignments from Systems Management Operations, Business Operations, and Student Financial Services staff.
  • Counsel students and families on Student Financial Services processes, including admissions eligibility, student aid eligibility, SAP requirements, enrollment requirements, packaging policies, registration and billing processes, and R2T4 calculations.
  • Demonstrate knowledge of financial aid, registration, enrollment, disbursement, and refund regulations; stay updated on federal, state, and institutional policies; ensure institutional policies and procedures are regularly updated and staff are trained accordingly.
  • Complete Department of Education Verification processes, resolve conflicting data, and make professional judgments for special circumstances using detailed financial aid regulations.
  • Manage registration, loan certification, and related outreach and processing efforts of subordinate staff.
  • Process daily payments and receipts, including bookstore voucher processes, registration payments, refund requests, account corrections, parking permits, and special services payments.
  • Handle daily, term-based, and annual registration-related items, such as Census processes, NOA reviews, grading closeouts, transfer credit processes, and degree audits; ensure aid eligibility and payment compliance.
  • Assist with comprehensive registration and graduation processes, including scheduling, transcript requests, transfer credits, grading follow-ups, graduation follow-ups, and bulletin development.
  • Support Enrollment Management activities, including Open House, Accepted Students Days, Scholarship Events, and other initiatives.
  • Attend all departmental staff meetings and training sessions.
  • Perform other duties and projects as assigned.

Requirements

  • Minimum of two to three years of higher education-related experience.
  • Driver’s license and ability to travel between campuses, including national travel.
  • Experience with Banner, proficiency in Microsoft Office Suite, and familiarity with multiple Department of Education software products.
  • Broad knowledge of federal and state financial aid regulations.
  • Demonstrated leadership, interpersonal, written, and oral communication skills.
  • Detail-oriented with strong customer service, problem-solving, and organizational skills; ability to work independently and manage high levels of responsibility.
  • Bilingual (Spanish) is a plus.
  • Ability to work long hours, including weekends and evenings as required.

Qualifications

  • Bachelor’s degree required; Master’s degree preferred.
