Strategic Communications Coordinator
About the role
The Strategic Communications Coordinator supports the successful execution of communications initiatives across the Division of University Advancement by coordinating projects, maintaining departmental workflows, and helping ensure strategic priorities move efficiently from planning through completion. Reporting to the Executive Director and Chief Communications Strategist, this position works closely with the team and division partners to coordinate timelines, track deliverables and facilitate communication among project stakeholders in support of departmental priorities. This position is responsible for supporting the operational execution of Advancement Communications initiatives, allowing strategists and department leadership to focus on communications strategy, creative development, relationship management and organizational priorities.
Responsibilities
- Executive & Strategic Initiative Support: Coordinates administrative and operational activities supporting strategic priorities; maintains project timelines, dashboards, trackers and documentation; creates and maintains Wrike projects, tasks and timelines; coordinates meetings by preparing agendas, organizing materials, documenting notes and tracking follow-up action items; organizes departmental documentation, SharePoint resources and project files; assists with preparation and formatting of presentations, reports and executive materials; tracks progress and provides status updates; coordinates special projects.
- Campaign Communications Support: Provides operational and administrative support for communications initiatives associated with the university’s comprehensive fundraising campaign; maintains campaign communications timelines, trackers and documentation; coordinates collection of content, approvals and supporting materials from campaign partners; assists with preparation and formatting of campaign presentations, reports and implementation materials; coordinates campaign meetings, agendas, notes and follow-up items; organizes campaign documentation and resource libraries.
- Communications Team Support: Provides targeted operational support to communications team staff on assigned initiatives; creates projects and enters timelines within departmental project management systems; coordinates collection of project information, content and approvals from stakeholders and campus partners.
Requirements
- Bachelor’s degree in a related field.
- Three years of related experience.

- Advanced proficiency with Microsoft Office applications and collaboration platforms.
- Experience using project management software such as Wrike, Monday.com, Asana or similar platforms.
- Ability to quickly learn new communications technologies and operational systems.
- Ability to work independently while contributing effectively within a collaborative team environment.
Preferred Qualifications
- Experience in higher education, nonprofit organizations or advancement.
- Experience supporting communications, marketing, fundraising or comprehensive campaign initiatives.
- Experience coordinating complex, cross-functional projects involving multiple departments and stakeholders.
- Familiarity with project management platforms such as Wrike, Asana, Monday.com or similar software.
- Experience preparing executive reports, presentations or briefing materials.
- Demonstrated ability to improve workflows, coordinate operational activities and support organizational effectiveness.

Schedule
Monday – Friday, 8:00 am – 5:00 pm; typical 40-hour work week with possible flex-time schedule and hybrid work opportunities.
