Responsibilities
- Prepare and submit license and permit applications to support new store openings and meet required deadlines.
- Obtain necessary licenses and permits for rebranding initiatives resulting from acquisitions.
- Manage and process license renewals to ensure uninterrupted business operations.
- Maintain accurate records of upcoming renewals, deadlines, and related activities.
- Monitor license status and compliance requirements across an assigned portfolio of stores.
- Ensure timely receipt and distribution of licenses for proper store posting.
- Research state and local licensing requirements, including environmental health plan reviews and inspection requirements.
- Verify application deadlines, required documentation, and applicable fees.
- Cook up with health inspectors and regulatory agencies to facilitate inspections prior to store openings.
- Contact local and state authorities to obtain copies of missing licenses, permits, renewals, and invoices.
- Help ensure compliance with regulatory requirements and minimize risks related to fines, penalties, or store closures.
- Utilize licensing software platforms and databases to track store openings, license renewals, and compliance deadlines.
- Maintain electronic records, including scanned copies of licenses and supporting documentation.
- Request payments and track fees associated with licensing activities.
- Copy, scan, import, and index documents to ensure accurate and organized recordkeeping.
- Generate updates and maintain data integrity within licensing systems.
- Partner with Field Operations and Facilities teams to address urgent licensing matters for existing stores.
- Receive, distribute, and organize department mail and licensing documentation.
- Work with Field Operations to resolve returned mail issues and update store mailing addresses as needed.
- Provide administrative support to ensure efficient management of licensing activities and compliance processes.
- Aid in additional projects and responsibilities as assigned.
Requirements
- A high school diploma or GED equivalent.
- Strong organizational and time-management skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Strong attention to detail and commitment to accuracy.
- Proficiency in Microsoft Word, Excel, and web-based business applications.
- Ability to work independently while collaborating effectively with internal and external partners.
- Strong problem-solving and follow-up skills.
- Ability to maintain confidential and sensitive information.
