Primary Responsibilities
- Aid in the development and preparation of RFPs, IFBs, and other procurement documents.
- Facilitate the evaluation of bids and proposals to ensure compliance with specifications and procurement policies.
- Assist in the preparation and execution of procurement contracts and agreements.
- Maintain oversight of contract performance and assist in ensuring contractors meet terms and conditions.
- Support vendor communications and respond to inquiries about procurement processes.
- Resolve basic procurement-related issues and concerns raised by vendors.
- Ensure all procurement activities comply with applicable state laws, regulations, and procurement guidelines.
- Maintain accurate records of procurement activities, including contracts, vendor communications, and other procurement documents.
- Prepare procurement documentation for audits or reviews.
- Collect and input procurement data into tracking systems for analysis and reporting.
- Prepare regular reports on procurement activities, including savings, contract status, and vendor performance.
- Collaborate with other state agencies to support their procurement needs and provide guidance on the procurement process.
Knowledge And Skills
- Basic understanding of state procurement laws, regulations, and best practices.
- Familiarity with procurement processes, including contract preparation, competitive bidding, and vendor selection.
- Ability to analyze basic procurement data, identify trends, and assist in decision-making.
- Attention to detail to ensure accurate documentation and compliance with procurement rules.
- Strong written and verbal communication skills, with the ability to communicate clearly with internal staff, vendors, and external stakeholders.
Minimum Qualifications
- Bachelor’s degree in business administration, public administration, supply chain management or a related field is required.
