About the role

The Staffing Specialist is the subject-matter expert for the Kronos Scheduling System and is responsible for the 24/7 staffing schedule for the Department of Nursing. The specialist coordinates full-time, part-time, pool, float, and agency staffing to meet the department's changing needs. Responsibilities include assessing staffing across all units daily, weekly, and monthly, and facilitating appropriate staffing adjustments. The specialist also handles schedule changes, such as call-outs or approved time changes from Patient Care Managers, and serves as the timekeeper for the Department of Nursing by reviewing exception sheets for data entry daily.

The role supports Patient Care Managers, Directors, and Nursing Supervisors in meeting the organization's staffing needs and includes secretarial and clerical duties.

Schedule

Evening shift: 11:00 AM – 7:30 PM

Responsibilities

  • Assess staffing needs for all nursing units on a daily, weekly, and monthly basis.
  • Coordinate and adjust staffing schedules for full-time, part-time, pool, float, and agency staff.
  • Manage schedule changes, including call-outs and approved time changes from Patient Care Managers.
  • Serve as the timekeeper for the Department of Nursing by reviewing and processing exception sheets for data entry.
  • Support Patient Care Managers, Directors, and Nursing Supervisors in meeting staffing needs.
  • Perform secretarial and clerical duties as required.

Requirements

  • High school graduate with a minimum of five years of secretarial experience or an Associate's Degree and three years of secretarial experience.
  • Minimum of two years of experience in a healthcare environment.

Skills

  • Strong organizational skills and attention to detail, with the ability to perform responsibilities accurately despite continuous interruptions.
  • Excellent communication and interpersonal skills, including diplomacy and tact.
  • Ability to prioritize staffing needs and adapt to fluctuating situations with creative problem-solving.
  • Ability to function independently with minimal supervision.
  • Knowledge of medical terminology preferred.
  • Good judgment in employee interactions and ensuring confidentiality of nursing information.
  • Excellent time management skills.
  • Proficient in Microsoft Word, Excel, database management, and other software applications.
  • Knowledge of Kronos Timekeeper, Advanced Scheduler, and Kenexa preferred.
  • Microsoft Outlook proficiency.
