About the role
This job is a member of the Airport Stations Team within the Customer Experience Division. You’ll perform a wide variety of office duties supporting both management and front-line employees at the airport.
Responsibilities
- Coordinate meeting arrangements, type documents, file records, and ensure telephone coverage
- Greet and direct customers, handle incoming and outgoing mail, order and distribute office supplies
- Reconcile P-card spending and track anniversaries, birthdays, and travel/hotel arrangements
- Prepare management presentations and special projects
- Administer, review, and monitor all local invoices through InvoiceWorks and disseminate as necessary
- Troubleshoot and escalate office technology issues, including telephone and copier machines
- Track and ensure employees complete onboarding duties (system access, lockers, mailboxes, uniforms, badges, fingerprinting, training)
- Assist in station event planning, coordination, and execution (e.g., Do Crew, luncheons, holiday meals, recognition events)
- Process payroll in Workbrain for management and support staff
- Process bereavement letters and coordinate local communications and response
- Manage employee parking, including permitting and assignments
- Assist with timekeeping functions, data entry, data verification, reconciliations, and filing
- Maintain employee files and station meeting plans, including monthly emergency response
- Access and manage various periodic reports (performance, audit, expense, employee engagement, recognition)
- Update required manuals and file/maintain all security-related items
- Act as backup for various payroll functions
- Manage records for OSHA, safety, etc. (301’s, weekly and annual)
- Assist with budget preparation and reconciliation, including monthly closeout of landing fees
- Support auditing activities as required
- Track and verify incentive funds earned
- Liaise with CRE/Facilities and vendors to track local projects
- Lead/direct work with other support staff as needed
- Perform other duties as required
Requirements
- High School diploma or GED
- Previous office/clerical experience
Skills
- Knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Understanding of policies, procedures, and corporate structure
- Ability to prioritize work, be detail-oriented, and meet deadlines
- Ability to perform in a fast-paced environment and handle multiple tasks simultaneously
- Self-motivated with strong organizational skills
- Ability to grasp concepts and functionality of specific software and programs
- Ability to fulfill FAA criminal background checks to qualify for unescorted access privileges to airport security identification display areas (SIDA), if applicable
