About the role

The Office of the General Counsel's Construction Industry Licensing Board Legal Unit seeks an entry-level Staff Assistant to provide administrative support to the Lead Assistant, assigned attorneys, and chief attorney.

Responsibilities

  • Updates document and case management systems.
  • Scans and profiles documents.
  • Prepares legal correspondence as necessary.
  • Receives and routes incoming mail.
  • Routes legal documents to Agency Clerk for filing.
  • Prepares packages for mailing.
  • Receives and routes telephone calls and assists callers with inquiries pertaining to case status.
  • Serves as a back-up receptionist for the Office of the General Counsel’s main switchboard.
  • Performs other related duties as necessary.

Requirements

  • High School Diploma or equivalent.
  • One year of work experience as a staff assistant, administrative assistant, or legal assistant.

Qualifications

  • Knowledge of Microsoft Word, Excel, and Outlook.
  • Knowledge of basic office equipment such as copier, fax, and multi-line telephones.
  • Knowledge of office procedures and techniques.
  • Knowledge of methods of data collection, basic arithmetic.
  • Ability to utilize problem-solving techniques.
  • Ability to plan, organize, and prioritize work assignments.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to multi-task.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to deal with the public in a tactful and courteous manner.
  • Ability to work independently and in a team environment.
