About the Role
The Sr. Program Associate serves as a key operational and administrative partner to the Chief Policy Officer and Policy Center Leadership Team. This role supports the effective operation of the Policy Center through executive support, financial administration, meeting coordination, communications, and document preparation. The position also contributes to organizational effectiveness by fostering collaboration across teams and using technology and AI tools to streamline workflows.
Responsibilities
- Provide comprehensive administrative and operational support to senior leadership, including calendar management, project coordination, travel arrangements, and correspondence.
- Coordinate meetings and prepare briefing materials, reports, agendas, presentations, and follow-up communications.
- Maintain organized electronic filing and records management systems.
- Coordinate Policy Center leadership meetings and maintain a division-wide calendar of staff engagements.
- Collaborate with executive assistants and serve as a liaison to internal staff, partners, vendors, and external stakeholders.
- Prepare, track, and process financial documents including invoices, expense reports, and purchase orders.
- Assist with budget monitoring and financial reporting.
- Support grant administration by collecting required documentation and reporting materials.
- Maintain office supplies, off-site storage, and organizational records.
- Plan and execute virtual, hybrid, and in-person meetings and events, including logistics and on-site support.
- Develop reports, presentations, and dashboards to support leadership decision-making and external communications.
- Provide high-quality customer service to staff, partners, vendors, and event participants while maintaining confidentiality.
- Utilize AI and technology tools to improve administrative efficiency and streamline organizational workflows.

- Experience providing executive and administrative support.
- Strong organizational, communication, and interpersonal skills.
- Ability to manage multiple priorities while maintaining accuracy and confidentiality.
- Familiarity with financial documentation, expense processing, and budget monitoring.
- Experience coordinating meetings, events, and related logistics.
- Strong technology skills and willingness to leverage AI tools to improve productivity.
- Residency within the Washington, DC metropolitan area.
