Sr Operations Admin
Responsible for performing clerical and administrative functions for hub and station operational areas, including linehaul, quality assurance, and customer service. Tends to damaged and incorrectly addressed packages to optimize delivery time and serves as the first line of contact for customer issues.
Responsibilities
Essential Functions
- Provides clerical support to various management and operational functions, including photocopying, filing, faxing, emailing, and answering telephones.
- Reviews, researches, and/or enters data in various systems to support respective functional areas.
- Compiles data and provides regular and ad-hoc reports to management for review and decision-making.
- Serves as frontline customer service to receive, solve, and/or escalate customer inquiries and issues.
- Assists management with Business Control Self Assessment (BCSA) audit activity by retrieving data and/or files for review.
Additional Quality Assurance/Loss Prevention Functions
- Supports timely delivery and mitigates loss and damage by performing address searches/corrections and ensuring packages are in good condition.
- Prioritizes workflow to maximize the number of packages resolved and sent out for delivery the same day.
- Ensures all packages receive appropriate scan statuses and inspects/handles hazardous material damages per policy.
- Ensures all loose product is accounted for as per company policy.
- Researches missing packages to understand root causes of scanning failures and compiles information on disputed deliveries for management review.
- Reviews and trends loss and damaged claims to identify improperly charged claims and brings them to management’s attention.
Additional Linehaul Functions
- Reviews and enters all Independent Contractor (IC) settlement information into the appropriate system to ensure proper payments.
- Enters settlement adjustments as directed by manager.
- Compiles required documentation to establish and maintain Department of Transportation (DOT)-required files.
- Verifies timely log entry into the system.
- Enters all individual vehicle mileage record information into the system and works with ICs and Linehaul staff to rectify issues.
- Tracks metrics, including the IC charge-back program, complaints, and maintenance compliance, and prepares weekly reports for management review.
- Serves as the initial contact for IC inquiries or issues relating to settlement, uniforms, decals, etc., and routes them to management for resolution.
- Performs other duties as assigned.
Requirements
- High School Diploma or GED required.
- Four (4) years of customer service, clerical, or related experience required; experience in dock operations or a distribution center setting preferred.
Skills
- General business skills: typing, data entry and review, use of phone, copier, and fax.
- Software skills: Microsoft Office and web-based applications.
- Customer service skills to respond to requests effectively and professionally.
- Time management, organizational, and multi-tasking skills to work in a fast-paced environment while maintaining high attention to detail and accuracy.
Job Conditions
- Minimal travel required.
- Desired location: Salem, VA. Employees will be required to work at the FedEx location five days a week.
Pay
This compensation range is a reasonable estimate of the current starting salary range for this role across all potential locations. Actual starting pay is determined by experience, market level, pay at the location, and other job-related factors permitted by law. The range reflects the pay for the lowest to highest levels if multiple job levels are included.
