About the role
Parsons is looking for an experienced Document Controller to join our Federal Solutions team. This role may supervise employees responsible for the flow and storage of all project documentation—including correspondence, contracts, construction documents, engineering, and schedules—between project operations, engineering disciplines, the construction team, and other support groups. The candidate typically manages document control for a large project and implements systems for efficient document processing.
Responsibilities
- Serve as the document control job leader, providing technical guidance to lower-level Document Control Specialists assigned to the project.
- Review work produced to ensure timely and accurate results; complete performance evaluations for assigned staff.
- Implement document/data management solutions with a primary focus on document control and records management; administer data/document management applications.
- Process one or more document types through all procedural steps in accordance with well-defined procedures and guidelines.
- Ensure pre-established document control requirements (e.g., document numbering systems, signature approvals) are met throughout the project.
- Receive, track, and monitor documents using standard document management programs to register documents, maintain databases, and produce logs, transmittals, and other reports.
- Enter data and produce reports using standard office automation or department-specific computer applications.
- Initiate and reply to routine correspondence related to area of responsibility.
- Stay abreast of department technologies, techniques, and services; work with staff to develop and improve services.
- Respond to changing technology environments and participate in decision-making activities relating to customers’ needs.
- Provide assistance to users in capturing and locating electronic information.
- Maintain an established data distribution system and schedule for the assigned project based on client, project, department, and supplier requirements.
- Expedite review, signature approval, and release of supplier and internally produced documents.
- Verify retention requirements, arrange document cataloging, packing, and long-term storage or disposal at project closeout.
- Manage scheduled destruction of archived documents according to company and/or client guidelines; assist with document retrieval.
- Assist junior document control staff to ensure effective implementation of project-specific procedures.
- Serve as liaison between support group, home office, and field personnel; interface with groups inside and outside the organization.
- Delegate and direct the work activities of the project document control team.
- Contribute as a deadline-driven team player.
- Perform other responsibilities associated with this position as needed.
Requirements
- High school diploma (or equivalent).
- Typically 10+ years of relevant work experience, including 5+ years of prior document control experience.
- Current/active TS/SCI security clearance (Secret clearance required at minimum).
- Proficiency in MS Office with expertise in Microsoft Word, PowerPoint, and Excel.
- Working knowledge of Electronic Document Management Systems.
- Good written and oral communication, organizational, and interpersonal skills.
- Demonstrated ability to interact effectively with project personnel and management.
