Sr Administrative Assistant
About the role
As the Senior Administrative Assistant, you will provide mid-level leaders with a broad range of administrative support. This role involves regular interactions with various leader levels, calendar management, project coordination, meeting support, and other value-added tasks as determined by business needs. You will ensure efficient day-to-day operations, including scheduling, meeting preparation, communications, and project assistance.
Senior Administrative Assistants balance multiple priorities, act as a reliable resource, and model high standards of service excellence. You will anticipate leader needs, liaise with key internal and external partners, and ensure organizational priorities are executed efficiently. This role requires confidentiality, influence, and collaboration while managing complex scheduling and materials.
Responsibilities
- Day-to-day calendar management for mid-level leaders, including scheduling, managing availability, handling meeting logistics, and processing meeting requests based on priority.
- Identify scheduling conflicts and proactively resolve them.
- Understand the priorities and business needs of the leaders supported and recommend efficient ways to organize their work.
- Provide moderate to heavy inbox management, consolidating information from various channels to assist in prioritization.
- Train and guide leaders on technology platforms such as travel, expensing, and other department-specific tools.
- Coordinate and draft/edit monthly reports, order supplies, manage role and access requests, and assist with onboarding new employees.
- Research and book travel arrangements in partnership with leaders and manage expenses.
- Maintain and create distribution lists.
- Initiate HR tasks on behalf of leaders supported.
- Participate in complex, business-value-driven projects tied to strategy and organizational impact.
Requirements
- 4+ years of related experience or equivalent demonstrated through work experience, training, military experience, or education.
- High school diploma required; associate degree preferred.
- Ability to support a team with heavy travel coordination and expense support needs.
- Strong organizational skills and attention to detail.
- Strong verbal and written communication skills.
- Self-motivated, resourceful, and able to work independently while collaborating effectively with a broader team.
- Ability to gather and consolidate data from various sources.
- Ability to set priorities, handle multiple tasks, and meet deadlines.
- Flexible and adaptable to rapidly changing priorities, with the ability to handle confidential information.
- Strong proficiency with Microsoft 365 tools, including Outlook, Teams, Word, Excel, PowerPoint, AI prompting, OneNote, and SharePoint.
Pay
Salary ranges reflect targeted base salaries. Non-sales positions may participate in a bonus program. Actual compensation will be based on geographic location, work experience, education, licensure, and skill level.
Salary Range: $22.93 - $40.96 / hour
- Wichita, KS: $22.93 - $30.72 / hour
- Des Moines, IA: $24.21 - $32.43 / hour
- Charlotte, NC: $25.48 - $34.13 / hour
- Chicago/Minneapolis: $28.03 - $37.55 / hour
- Los Angeles/New York City: $30.58 - $40.96 / hour
