OSACA aids faculty and staff in managing the financial post-award aspects of external research funding and oversees the sponsored rate development process for the university.

About the role

This position manages the financial administration of grants and contracts from award setup through closeout, ensuring compliance with Federal, State, University, and sponsor policies. The role collaborates with the Office of Sponsored Programs and other financial and administrative units to provide efficient research administration services to the Stevens Institute of Technology community.

Responsibilities

  • Approve all sponsored transactions (e.g., P-card purchases, procurements, payroll, assistantships, sub-awards, travel) in accordance with award terms, uniform guidance, and institutional policy, verifying budget availability, correct object codes, and allowability on sponsored funding.
  • Prepare and submit invoices; monitor and track outstanding payments.
  • Prepare and submit interim and final financial reports for sponsors, including cost share reports, analyzing budgets, expenditures, encumbrances, and receivables.
  • Process journal entry transactions such as cost transfers, transfer of funds, and write-offs.
  • Verify accuracy of award setup, modifications, and budget information, including funding source, rates, and billing requirements.
  • Complete analysis to resolve accounting issues, including project overruns and accelerated spending.
  • Track, manage, and validate cost share commitments.
  • Prepare awards for closeout in accordance with sponsor terms and conditions.
  • Manage outstanding accounts receivable and complete cash application for sponsored receivables.
  • Provide training and guidance on compliance-related matters to the research community.
  • Support audit activities involving sponsored awards.
  • Work on special projects as requested by the Director and perform other related duties.
  • Promote the University’s commitment to customer service by building effective partnerships, ensuring optimum service to internal and external partners, and maintaining an inclusive environment.
  • Utilize Artificial Intelligence (AI) tools to create efficiencies in job responsibilities.

Requirements

  • 1 to 3 years of experience in post-award research administration and/or grant accounting with a master’s degree in business, research administration, or related field; or
  • 3 to 5 years of experience in post-award research administration and/or grant accounting with a bachelor’s degree in business, research administration, or related field.
  • Experience in a college, university, or other not-for-profit institution performing similar job functions.
  • Excellent qualitative and quantitative skills.
  • Ability to interact professionally with all levels of university personnel, research administration, and funding agency communities.
  • Excellent interpersonal, verbal, and written communication skills.
  • Proficiency in Microsoft Word and Excel (e.g., pivot tables, V-lookups).
  • Knowledge of accounting standards (GAAP, GASB, CASB) and internal control procedures.
  • Dedicated, high-integrity professional and team player.
  • Must be a U.S. citizen.

Preferred Qualifications

  • Experience with sponsored award invoicing, billing, payment application, and account reconciliation using federal, state, or other sponsor electronic billing and payment portals.

Pay

The annual base salary range for this position is $71,000.00 - $97,066.67. Compensation is determined based on the position’s scope, candidate’s experience, education, skills, internal equity, market data, and organizational considerations. This range excludes additional forms of compensation such as incentives, stipends, or other applicable pay components.
