Responsibilities
- Captures and submits documents for manuscripts, abstracts, and presentations.
- Prepares presentations including posters, PowerPoint, and other printed material.
- Maintains accurate, up-to-date calendars for Investigators and schedules any required business travel.
- Processes travel expense paperwork for Investigators in a timely and accurate manner.
- Routinely reviews schedules to anticipate and resolve potential scheduling conflicts.
- Maintains and tracks Paid Time Off and Continuing Medical Education credits.
- Schedules all meetings and conference calls, and coordinates catering when necessary.
- Performs advanced secretarial duties such as transcription, typing, operating computers, copying, faxing, emailing, and scanning documents.
- Is proficient with office automation products (Microsoft Word, Excel, PowerPoint, and Ref Works) or related office equipment.
- Affords assistance with new login requests, processing payment authorizations, ordering materials, scheduling meetings & interviews, and catering.
- Provides status updates on ongoing projects as assigned.
- Maintains departmental correspondence by composing and typing routine correspondence, reviewing draft and finished documents for accuracy.
- Writes new policies and procedures as needed.
- Maintains effective communication with all levels of professionals including physicians, research coordinators, research specialists, managers, hospital administration, sponsors, and their representatives.
- Screens calls, incoming mail, publications, and other correspondence.
- Credentialing and maintaining licenses for the Clinical Investigators and maintaining records of department activities and administrative expenses.
Requirements
- Associates or 4 Years related experience
- Bachelor's degree preferred
- 5 years administrative experience
