Specialist, Client Programs and Events
Responsibilities
- Oversees the end-to-end planning and execution of client programs and events, including CLE programming, dinners, receptions and special events, in the Palo Alto and Los Angeles offices.
- Plans, coordinates and executes client-facing events, including but not limited to venue research, contract negotiations, catering, budgeting, staging, materials production and coordination across multiple teams and practices.
- Collaborates closely with the business development team, practice groups, and partners to ensure all events support the Firm's strategic business development objectives and client engagement goals.
- Works as a collaborative member of the global client events team, supporting and contributing to events in other offices as needed to ensure a consistent and exceptional client experience across the Firm.
- Develops and manages event estimates and budgets, tracking expenditures to ensure cost-effective delivery.
- Maintains invitation and attendee lists in the Firm's CRM system, ensuring data accuracy and integrity.
- Tracks event-related activities in Firm databases, aggregates and analyzes data for reporting, and provides post-event analysis and recommendations for improvement.
- Manages on-site event logistics, including setup and room configuration, signage, registration, and real-time troubleshooting to ensure flawless event delivery.
- Independently runs live and pre-recorded webinars, including platform configuration, rehearsals, speaker preparation, and day-of production.
- Oversees the set-up and management of audio-visual logistics for virtual and hybrid events, collaborating with the AV team and external vendors to ensure a seamless attendee experience.
- Safeguards compliance with MCLE accreditation standards across relevant jurisdictions.
- Researches and maintains up-to-date intelligence on event experiences, venues, restaurants, and vendors, identifying trends and opportunities to enhance the Firm's event offerings.
- Manages relationships with existing vendors while identifying opportunities to expand partnerships and improve service delivery.
- Negotiates contracts with venues and vendors to optimize value, service quality and contractual terms.
- Collects and synthesizes client and attendee feedback to inform future event planning and programming decisions.
- Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
- Manages Firm resources responsibly.
- Complies with and understands Firm operations, policies and procedures.
- Performs other related duties as assigned to support the Firm’s business development and marketing initiatives.
Qualifications
- Proficient in relevant Firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems.
- Strong interpersonal and communication skills, with the ability to synthesize and convey information effectively in writing and verbally.
- Demonstrates exceptional close attention to detail.
- Solution-oriented, excellent analytical, troubleshooting, organizational, and planning skills.
- Able to handle multiple projects and shifting priorities.
- Able to handle sensitive matters and maintain confidentiality.

Education And Experience
- Bachelor's degree.
- Minimum of five years related experience in a professional services environment.

Pay
The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.
Salary Details: $105,000 - $115,000
This position may be eligible for a discretionary year-end bonus.
