Support the Special Events Management team in creating exceptionally luxurious events that elevate VIP client loyalty and embody the timeless elegance of the Fontainebleau. Lead the planning and execution of assigned smaller-scale events from concept through completion.
Responsibilities
- Lead the planning, coordination, and on-site execution of assigned smaller-scale events, ensuring all event details, timelines, budgets, and service standards are successfully managed from concept through post-event follow-up
- Assist and support the Events Manager/Property on all event coordination and execution
- Assist with the financials, timing, and regulations for events
- Understand all requirements, expectations, and regulations for each event
- Coordinate with vendors and partners during the event planning process to ensure all details are in order
- Assist with event set-up, tear down, and follow-up processes
- Ensure all event specifics are on-site and/or with partners for successful execution
- Support Management with reviewing, writing, proofing, receiving, and distributing brand collateral
- Research and input purchase orders for gift ideas, décor concepts, entertainment, emerging artists, and promotional items
- Maintain an updated inventory of all event-related materials and department-owned goods
- Review proposals and itineraries to ensure accuracy
- Execute requirements for décor, entertainment, space, and other event-specific needs
- Organize all tasks related to each event while being aware of internal and external deadlines
- Maintain accurate event files and expenses, submitting final reports in a timely manner
- Communicate accurately and effectively with support departments and outside vendors
- Attend events and actively assist in overall event supervision, resolving issues quickly
- Train third-party employees on event-specific SOPs as necessary
Requirements
- At least 21 years of age
- High School diploma or equivalent
- One (1) or more years of experience in event coordination and/or a proven track record of organizing successful events
- Experience in special events, event planning, or promotions for a large-scale resort preferred
- Knowledge of event design, live events, experiences, trends, and innovation
- Extraordinary attention to detail while working under tight deadlines
- Skilled at interacting and communicating effectively with all levels of management, staff, promoters, suppliers, guests, and visitors
- Professional demeanor and ability to remain calm under high-pressure situations
- Strong multitasking skills and ability to adapt to quickly changing situations
- Strong problem-solving and critical/creative thinking skills
- Deadline-oriented with effective time management skills
- Strong communication and interpersonal skills
- High sense of urgency and self-starter mentality

- Flexible work schedule; weekend work is often required

Supervisory Responsibilities
Assist with overseeing and training temporary third-party employees.
Physical Demands
- Regularly required to stand and use hands and fingers to handle or utilize objects, tools, or controls
- Frequently required to reach with hands and arms, talk, or hear
- Specific vision abilities include close vision and peripheral vision
- Regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds, and occasionally lift and/or move up to 100 pounds
- Ability to push, pull, reach, bend, twist, stoop, stack, crouch, kneel, and balance in varying work areas, including confined spaces
- Ability to stand, walk, and move for extended periods

Pay
$60,000.00 – $70,000.00 per year
