About the role
The Special Programs Clerk coordinates activities related to student enrollment, registration, related services, and special education records management. This position acts as the school’s advocate or representative in handling related services, student records requests, and maintaining IEP & 504 documentation and scheduling. This is a 12-month position.
Responsibilities
- Manages and coordinates the transfer of student records between schools, districts, parents, and the special education enrollment teams.
- Develops, handles, and ensures compliance with special education student records confidentiality and storage.
- Maintains records requests logs for tracking purposes.
- Serves as point of contact on document receipt issues for students, prospective students, parents, administrative personnel, and reporting agencies.
- Builds a network of providers throughout the state within both the private sector and local school districts.
- Performs data entry into the student information system; verifies accuracy, corrects errors, and resolves issues.
- Maintains a current, accurate database of related service providers.
- Ensures existing contracts are compliant.
- Ensures appropriate placement of all students requiring any form of related services within guidelines for timeframe and provider proximity.
- Ensures state compliancy guidelines are met for all special education student records.
- Assists in record collection for state and district reporting compliance.
- Schedules IEP meetings to include all required participants.
- Maintains special education calendar.
- Manages phones, emails, and other communications.
- Other duties may be assigned.
Requirements
- High school diploma or General Equivalency Degree (GED) Certificate and two years office experience; or equivalent combination of education and experience.
- Formal computer training an advantage.
- Proficient in relevant computer applications such as MS Office.
- Knowledge of clerical and administrative procedures.
