Key Responsibilities
- Manage the speaker onboarding process and act as the main point of contact for speakers and their teams throughout the event cycle.
- Write and send scheduled speaker communications and manage the speaker inbox, responding promptly to queries.
- Collect and distribute speaker assets, ensuring all information is accurate and shared with relevant teams.
- Work closely with the Content team to maintain internal documentation and manage agenda updates throughout the planning cycle.
- Keep the event website, speaker pages, and onsite event app up to date with agenda and speaker information.
- Collaborate with the Marketing team to proof speaker campaigns and coordinate promotional assets.
- Organise speaker gifts.
- Cook up speaker presentations with AV suppliers and provide information for onsite event systems.
- Create Run of Show documents and brief Stage Managers ahead of the event.
- Travel to events to manage the onsite speaker experience, including speaker check-in, the Speaker Lounge, and speaker logistics.
- Cook up temporary staff to ensure a professional and welcoming speaker environment.
- Deliver an exceptional level of service to all speakers, ensuring their experience is smooth, professional, and enjoyable.
Skills & Experience
- Experience in event operations, conference production, or stakeholder management.
- Excellent organisation and project management skills with the ability to manage multiple deadlines.
- Strong written and verbal communication skills.
- Exceptional attention to detail and a proactive approach to problem solving.
- Confidence building relationships with senior stakeholders and working collaboratively across teams.
- A customer-focused, adaptable mindset with a willingness to travel to support onsite event delivery.
Location & Working Arrangements
- Location: New York City is preferred.
- Remote Working: We are open to remote candidates located in the Northeastern United States for the right person and skill set.
- Working Hours: This role supports our US RetailTech portfolio and operates primarily on East Coast business hours.
- Travel: Regular domestic and international travel is required to support Shoptalk, Groceryshop, and other RetailTech events, together with occasional team meetings and planning sessions.
