Purpose of Job

We are seeking an energetic, tech-savvy Senior Administrative Assistant to support the VP of our global Care Chemicals business and provide ad hoc assistance to the broader global team (including VP Marketing CSA). This role is critical for driving efficiency through AI and smart processes, owning logistics for 1–2 annual conferences/events, and handling flexible administrative work including SAP transactions. Ideal for a proactive professional who thrives on making leaders and teams more effective. Houston hybrid role (min. 3 days office/week) with scheduling flexibility within a standard 40-hour work week.

Key Accountabilities

  • Provide high-impact administrative support to the VP and flexible ad hoc support to direct reports and senior global team members.
  • Manage complex calendars and cross-time-zone coordination; collaborate effectively with other Assistants globally.
  • Handle end-to-end domestic and international travel arrangements plus all related SAP transactions, expense reporting, and follow-ups.
  • Own planning and execution of 1–2 major annual conferences/events, including venues, hotels, dinners, schedules, logistics, and on-site/virtual support.
  • Leverage AI tools (Copilot, generative AI, etc.) and Microsoft 365 automation to streamline workflows, improve output quality and speed, and reduce administrative burden.
  • Support in preparation of professional presentations, reports, agendas, and materials; support ad hoc research and other team needs as required.
  • Maintain strict confidentiality and professionalism while building strong collaborative relationships across the administrative support network.
  • Proactively identify and implement process improvements that increase efficiency and make the VP’s and team’s work easier.

Formal Education

High School Diploma or equivalent; Bachelor’s Degree preferred

Working Experience

  • 4-8 years administrative or executive support experience in a corporate or global setting
  • Strong foundational experience + high energy preferred over extensive tenure.

Required Personal and Professional Skills

  • Advanced Microsoft 365 skills (Outlook, Teams, PowerPoint, Excel, Word) and demonstrated use of AI tools to drive productivity and quality.
  • SAP or similar ERP experience for administrative transactions strongly preferred.
  • Proven strength in calendar/travel management, event coordination, multitasking, and delivering consistent, detail-oriented results with minimal supervision.
  • Excellent communication skills and ability to interact professionally at all levels; self-motivated with strong ownership and problem-solving ability.
