About the role

The Site Admin II provides administrative support to on-site project management and staff, including administrative functions, accounting reporting, and serving as a liaison for employees. This role assists corporate HR with new hire paperwork and onboarding requirements.

Travel required up to 100%. Position requires presence directly on the Project Site location in Rapid City, SD.

Responsibilities

  • Serve as receptionist, including answering phones, greeting visitors, handling incoming and outgoing mail, copying, ordering, and maintaining office supplies.
  • Set up and maintain reports and databases as requested.
  • Assist corporate HR with new hire paperwork and onboarding requirements.
  • Assist the Site Safety Coordinator as needed.
  • Input, verify, and process timesheets for payroll.
  • Maintain tracking, reporting, and database spreadsheets for the project.
  • Reconcile management’s purchasing card statements monthly.
  • Assist all employees with questions on payroll and timesheets.
  • Assist with equipment questions (scanner, copy machine, etc.).
  • Maintain a filing system of all documents and drawings, tracking distribution.
  • Be knowledgeable of MIC Health and Safety programs and project-specific regulations.
  • Actively participate in daily toolbox meetings with crews and subcontractors when on-site.
  • Set a personal example of safe behavior.
  • Perform other duties as assigned.

Requirements

  • Associate’s Degree (A.A.) or 3 years’ experience in an administrative support position.
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook, and Internet.
  • Strong verbal and written communication skills.
  • Ability to multi-task and be highly organized.

  • Work up to a 12-hour shift doing hard physical work in varying temperatures and outside conditions.

  • Ability to wear personal protective equipment (safety-toed shoes, gloves, safety glasses, hearing protection, hardhat, vest, etc.).
  • Move in and around confined, cluttered, and uneven areas.
  • Work at heights and abide by all safety and fall-protection requirements; wear and utilize all required safety equipment.
  • Evaluate information based on measurable standards; see details in objects or drawings and recognize slight differences in shapes and shadings.
  • Visualize objects in three dimensions from drawings.
  • Keep good balance and work at heights.
  • See well (either naturally or with correction).
  • Hear well (either naturally or with correction).
  • Coordinate the use of eyes, hands, and feet.

Pay

$28 - $36 per hour, commensurate with experience.
