Description

The Shipping Supervisor is responsible for overseeing the daily operations of the Shipping Department to ensure customer orders are processed accurately, efficiently, and on schedule. This position provides leadership and direction to shipping personnel, coordinates work assignments and priorities, monitors shipping performance, and ensures compliance with company policies, procedures, safety requirements, and applicable regulations. The Shipping Supervisor works closely with Production, Customer Service, Scheduling, Transportation, and other departments to ensure orders are properly prioritized, cleared, prepared, and shipped to meet customer requirements and in-hands dates. This position is also responsible for identifying shipping issues, implementing corrective actions, improving department processes, and maintaining a high level of service and operational efficiency.

Essential Functions And Responsibilities

  • Reviews job jackets, special instructions, customer orders, and other records to determine shipping priorities, work assignments, and shipping methods necessary to meet established shipping schedules.
  • Oversees daily outgoing shipping activities to ensure shipments are accurate, complete, properly packaged, labeled, documented, and in acceptable condition prior to release.
  • Monitors the "Have-to-Go" shipping list to ensure priority orders are processed and shipped as required to meet customer in-hands dates and delivery requirements.
  • Coordinates shipping priorities and work assignments with Production, Customer Service, Scheduling, Credit, and other departments as necessary to ensure orders are shipped on time.
  • Maintains a strong working knowledge of domestic and international shipping methods, carriers, freight requirements, and applicable shipping documentation and paperwork requirements.
  • Oversees and/or prepares bills of lading, shipping documents, labels, and other required transportation paperwork to ensure accuracy and compliance with established procedures.
  • Inspects material-handling equipment for defects, damage, or safety concerns and promptly notifies Maintenance personnel or contacts outside service providers to coordinate necessary repairs.
  • Provides clear written and verbal work instructions, procedures, and direction to shipping employees to ensure work is performed safely, accurately, and efficiently.
  • Plans, organizes, and prioritizes department activities to meet shipping schedules and customer requirements.
  • Reviews, develops, and standardizes department procedures and processes to improve productivity, efficiency, accuracy, and overall shipping performance.
  • Tracks and reviews department performance metrics and records to ensure established departmental goals, shipping schedules, and customer service expectations are achieved.
  • Identifies, investigates, and addresses shipping errors, discrepancies, damages, delays, and other issues. Takes appropriate corrective action and implements process improvements to prevent recurring problems.
  • Maintains accurate shipping records and ensures required documentation is completed and retained in accordance with company procedures.
  • Ensures employees follow established safety practices, company policies, work instructions, and shipping procedures.
  • Supports inventory control and verification activities related to finished goods and shipments.
  • Communicates shipment status, delays, issues, and other pertinent information to appropriate departments and management.
  • Works with carriers and outside service providers to resolve transportation, delivery, documentation, and service issues.
  • Promotes a culture of accountability, teamwork, safety, accuracy, customer service, and continuous improvement within the Shipping Department.
  • Performs other duties and responsibilities as assigned by management.

Supervisory Responsibilities

Directly supervise employees within the Shipping Department. Carries out supervisory responsibilities in accordance with the organization's policies, procedures, and applicable federal, state, and local laws. Responsibilities include interviewing, hiring, onboarding, training, planning and assigning work, directing daily activities, monitoring performance, conducting performance evaluations, recognizing and rewarding employees, administering corrective action and discipline, addressing employee concerns, resolving work-related problems, and ensuring employees understand and meet performance expectations. The Shipping Supervisor is responsible for providing effective leadership and maintaining a professional, respectful, and productive work environment.

Education And Experience

  • Bachelor's degree (B.A.) in Business Administration, Supply Chain Management, Logistics, or a related field preferred.
  • Two or more years of related shipping, logistics, warehouse, manufacturing, or supervisory experience preferred.
  • Equivalent combinations of education, training, and experience may be considered.
  • Previous supervisory or leadership experience is preferred.

Computer Skills

To perform this job successfully, an individual should have working knowledge of computer systems and software used in shipping and business operations, including database, order-management, transportation, inventory, Microsoft Office, email, internet, and other software provided by the organization or its vendors.
