About the role
The Inbound Scheduler is the main point of contact with Will Call Customers, carriers, and dispatchers. Responsible for scheduling inbound loads with carriers, assigning docks to drivers, and managing warehouse logistics. Uses various software to maintain the inbound schedule and upload vendor/carrier paperwork into our WMS. Schedules LTL carriers for pickup using Echo 3PL software. Ensures accurate receipt/shipment and appropriate handling of merchandise, completes shipping and receiving reports, and interacts with departments including Accounting, Purchasing, and Customer Service.
Responsibilities
- Schedule all inbound loads with carriers, managing appointments in “Open Dock.”
- Schedule all LTL, TL, and partial truckload appointments with carriers using 3PLs or complying with customers' routing information.
- Reconcile vendor paperwork/receiving paperwork vs. data entered in the WMS.
- Collect any applicable fees from carriers.
- Complete Overage, Shortage, and Damage paperwork to be shared with Purchasing and Accounts Payable.
- Assess appropriate vendor penalties.
- Manage “Days Out” spreadsheet to ensure proper inbound scheduling compliance.
- Upload paperwork for inbound and outbound shipments into our WMS, adding applicable freight charges, and completing transactions for proper invoicing.
- Maintain other shipping records such as returned merchandise, damage, discrepancies, etc.
- Establish an appropriate rapport with customers, vendors, and delivery drivers.
- Observe and comply with all workplace safety procedures and measures, including documenting any unsafe acts, conditions, or accidents.
- Maintain organization and cleanliness of the warehouse.
- Reconcile Invoice Preview Queue on a weekly basis.
- Occasionally assist with operations on the dock, including picking, receiving, and put away.
- Perform other duties as assigned by management.
Requirements
- Strong interpersonal skills.
- Strong attention to detail.
- Ability to prioritize tasks.
- Proficient with Microsoft Outlook.
- General knowledge of Microsoft Excel.
- Significant inventory control and SKU management exposure.
- Ability to perform light to heavy physical tasks; able to lift 50 lbs. safely.
- Eclipse Warehouse Management System background a plus.
- Must be dependable, reliable, and mature enough to handle equipment safely and sensibly.
- Ability to work independently with limited direction.
- Ability to problem solve.
- Exposure to environmental conditions (e.g., heat/cold; noise and dust).
- Previous warehouse and forklift experience a plus.
Schedule
Full-Time | Monday – Friday | 1st Shift, 6:00 am – 2:30 pm, or until completion.
