About the Role
In this position, you will handle a variety of shipping and receiving tasks, provide excellent customer service to customers and third-party vendor drivers, and support inter-departments with shipping and receiving matters. This role also includes administrative support to the department manager.
Responsibilities
- Verify and coordinate the accuracy of incoming and outgoing shipments.
- Contact carrier representatives to arrange or issue instructions for shipping and delivery of materials.
- Perform data entry, prepare shipping orders, and schedule loads.
- Research, compile, validate, and report information from multiple sources such as bills of lading, orders, or other records.
- Confer or correspond with establishment representatives to rectify problems, such as damages or shortages.
- Provide general clerical office functions and support to the department manager.
- Assist third-party drivers with shipping or receiving inquiries.
- Assist customers with shipping and receiving change requests.
- Occasionally walk through the warehouse/shipping department to follow up on customer service orders, inventory, order status, and operate lift trucks (e.g., sit-down and propane changes).
- Assist with training new forklift drivers.
- Assist with loading and unloading trucks when needed or requested by a supervisor.
- Act as a liaison between customers, carriers, and internal departments by notifying appropriate departments of change requests or other matters requiring attention.
- Arrange or coordinate the delivery of received materials by notifying the appropriate department personnel.
- Comply with all quality, safety, work rules, and regulations.
- Assist with various projects as needed.
- Perform all other duties as assigned.
Requirements
- High School diploma or equivalent is required.
- 2+ years of administrative experience or a similar role.
Skills
- Excellent written, verbal, and listening skills.
- Ability to adapt to new processes, products, and technologies.
- Learn and understand products and technology to efficiently route requests for assistance.
- Ability to work in a fast-paced, deadline-driven, multi-discipline environment.
- Ability to manage multiple tasks, set priorities, identify and address problems, and meet deadlines.
- Identify and resolve problems in a timely manner; gather and analyze information skillfully; maintain confidentiality.
- Ability to work effectively with a team across various plant personnel, from hourly employees to senior management.
- Self-motivated with the ability to work independently in a fast-paced environment with changing priorities.
- High level of attention to detail and process-driven to balance timeliness and quality of service.
- Basic knowledge and experience in Microsoft Office programs (Word, Excel, Outlook).
- Basic math skills.
- Proficient in reading, writing, and communicating in English.

Physical Requirements
- Works in an office environment located inside the warehouse.
- Requires sitting, standing, walking, and operating a computer keyboard, telephone, and other office equipment for extended periods.
- Must be able to perform repetitive motions such as typing, reaching, and grasping.
- Work environment is in a warehouse with temperatures varying between hot or cold based on outside conditions.
- Must be able to carry up to 25 lbs.
This is a fast-paced environment with constantly changing priorities.
