About the role

We are looking for a detail-oriented and highly organized Shipping Coordinator to join our team in Syracuse, NY. In this role, you will play an important part in ensuring that customer orders and service shipments are packaged accurately, documented properly, and delivered on time. You will work closely with Production, Test Room, Shipping, Customer Service, Sales, Service, Quality Control, Compliance, Accounting, customers, freight carriers, and customs brokers.

Responsibilities

  • Coordinate all shipments of sales and service orders, ensuring orders are prepared accurately and shipped according to customer requirements.
  • Receive customer orders from Production and verify quantities, labeling, packaging, and shipment readiness.
  • Prepare and maintain shipping labels and documentation, including packing lists, invoices, bills of lading, and customs forms.
  • Obtain freight quotations from carriers and transportation providers and coordinate shipment pickups and deliveries.
  • Communicate shipment status and tracking information to internal and external customers.
  • Proactively identify, investigate, and resolve shipping discrepancies and other issues to minimize delays.
  • Coordinate with customs brokers and relevant authorities to facilitate customs clearance for international shipments and receipts.
  • Work with Production, Quality Control, Compliance, Sales, and Service teams to establish and maintain daily packaging and shipping schedules.
  • Confirm customer payment status with the Accounting department as needed before shipments are released.
  • Notify customers of completed shipments and provide appropriate tracking information.
  • Assist Sales and Service teams with obtaining freight quotations for new customer orders.
  • Perform other duties as assigned to support the team and the organization.

Requirements

  • High school diploma or GED, with two to three years of related experience and/or training, or an equivalent combination of education and experience.
  • Strong organizational and time-management skills, with the ability to prioritize and coordinate multiple shipments and deadlines.
  • Excellent attention to detail and accuracy when preparing orders, labels, shipping documents, and customs paperwork.
  • Strong verbal and written communication skills and the ability to interact professionally with customers, carriers, freight forwarders, customs brokers, and internal departments.
  • Proficiency in Microsoft Office and general computer applications.
  • Ability to read and interpret safety rules, operating and maintenance instructions, procedure manuals, training documents, and other written procedures.
  • Demonstrated dependability, adaptability, teamwork, accountability, and willingness to continuously learn and develop new skills.
  • Ability to proactively identify problems, take appropriate action, and follow established procedures to resolve issues.
  • Commitment to maintaining a safe work environment and following required safety procedures and PPE requirements.
  • Ability to work effectively in both office and manufacturing environments.
  • Excellent command of English, both written and spoken.
  • Ability to meet the physical requirements of the position, including lifting and moving materials as required.

Preferred Qualifications

  • Previous experience in shipping, logistics, transportation, freight coordination, manufacturing, or a related field.
  • Experience working with freight carriers, freight forwarders, customs brokers, or international shipments.
  • Familiarity with freight quotations, shipment tracking, bills of lading, commercial invoices, packing lists, and customs documentation.
  • Experience coordinating activities across multiple departments in a manufacturing or technical organization.
  • Strong problem-solving skills and a proactive approach to identifying and resolving shipping issues.
  • A customer-focused mindset and the ability to maintain professional relationships with internal and external customers.
  • A collaborative, team-oriented approach and a willingness to support colleagues and contribute to shared goals.
  • Commitment to accuracy, continuous improvement, adaptability, inclusion, dependability, and workplace safety.

Physical Demands

While performing the duties of this job, the employee is frequently required to stand, walk, reach with arms and hands, and use hand and finger dexterity. The employee is also frequently required to stoop, kneel, crouch, crawl, and talk or hear. The employee must regularly lift and/or move up to 10 pounds and frequently lift and/or move up to 50 pounds. Specific vision abilities required include close, distance, and peripheral vision, depth perception, and the ability to adjust focus.

Work Environment

This role operates in a manufacturing environment and interacts primarily with internal customers in a professional, courteous, and cooperative manner. Required personal protective equipment (PPE) must be worn as applicable. The employee is frequently exposed to moving mechanical parts and may occasionally be exposed to humid conditions, fumes or airborne particles, heat, cold, risk of electrical shock, and vibration. The noise level may be moderately loud at times.

Pay

$22.00-$26.50 per hour (DOE)
