About the role
The Service Drive Assistant at Swickard Honda of Gladstone is the connective tissue of the service operation. This role handles incoming service department phone calls, processes guest payments, completes loaner vehicle agreements, covers for service advisors, moves vehicles, retrieves finished vehicles, and supports the service team with administrative tasks.
Responsibilities
- Answer incoming service department phone calls – directing guests to the right advisor, answering basic service questions, and delivering a warm, professional first impression
- Process guest payments at the cashier – handling transactions accurately and efficiently at vehicle pickup
- Complete loaner vehicle agreements – verifying documentation, processing check-outs and check-ins, and maintaining accurate loaner records
- Process we-owe agreements – documenting and tracking outstanding commitments to guests with accuracy and follow-through
- Cover for service advisors during lunch breaks, sick days, and peak periods – stepping in to support guest communication and workflow continuity
- Maintain the service drive by moving vehicles on and off the service drive – staging completed vehicles for guest pickup and pulling incoming vehicles into the service lane
- Retrieve finished vehicles from the lot and service bays – keeping the drive clear and the operation flowing
- Support the service team with general administrative tasks and guest coordination as needed throughout the day
Requirements
- Previous customer service, administrative, hospitality, or front-desk experience preferred
- Comfortable on the phone – clear, friendly, and professional with every caller
- Detail-oriented and accurate with paperwork – loaner agreements, we-owes, and cashiering require precision
- Adaptable and calm under pressure – this role shifts between desk work and drive coverage throughout the day
- Valid driver's license with a clean driving record – required, as vehicle movement is part of the daily responsibilities
- Reliable and punctual – the service team and our guests count on you to show up and be ready
