Service Coordinator / Dispatcher

About the Role

Riddleberger Brothers, Inc. (RBI), a Comfort Systems USA Company, is seeking a highly organized and customer-focused Service Coordinator / Dispatcher to support our Service Operations team in Lynchburg, VA. This position plays a critical role in ensuring timely service delivery by coordinating technicians, managing customer communications, and supporting daily administrative operations.

Responsibilities

• Answer incoming service calls and accurately document customer requests.
• Dispatch HVAC service calls and schedule technicians based on customer needs and technician availability.
• Coordinate daily technician schedules and provide technicians with job-related information.
• Create and issue purchase orders for parts, materials, and vendors.
• Verify and reconcile technician time entries for payroll processing.
• Schedule and coordinate preventative maintenance (PM) inspections and services.
• Maintain open service and PM call lists and communicate updates to technicians and managers.
• Review completed service tickets for accuracy and billing readiness.
• Process purchasing card transactions and reconcile receipts.
• Monitor and maintain technician truck stock inventory.
• Manage on-call schedules and update answering service systems.
• Follow up with customers regarding service satisfaction, outstanding quotes, and ongoing service needs.
• Provide support and backup for other dispatchers and service coordinators as needed.

Required Qualifications

• 3–5 years of administrative experience.
• Strong computer skills, including proficiency in Microsoft Excel.
• Excellent organizational and time management abilities.
• Strong verbal and written communication skills.
• Ability to multitask and prioritize in a fast-paced environment.
• Exceptional customer service skills.
• Reliable attendance and a team-oriented attitude.

Preferred Qualifications

• Service industry or dispatching experience.
• Experience supporting HVAC, construction, mechanical contracting, or field service operations.
• Familiarity with service management or dispatch software.

Pay

$26.00 - $33.00 an hour or $61,880 - $68,640 a year.
