Service Coordinator
About the role
The Service Coordinator at Alliance Laundry Systems Distribution plays a crucial role in the day-to-day operations of their assigned area. They contribute to increasing team efficiency by providing both operational and administrative support. This position also involves participating in process improvement initiatives as a cross-functional team member.
Responsibilities
- Cover day-to-day operations within their assigned area while adhering to Alliance Laundry Systems quality standards, policies, and procedures.
- Coordinate and facilitate the service teams' routes and schedules.
- Organize and communicate all details related to customer orders for service requests of commercial laundry equipment.
- Oversee and coordinate all schedules, routes, and resources of the Service team.
- Assign, dispatch, and allocate appropriate field personnel to different projects on a multi-state basis.
- Track job, field personnel, and backlog status on the appropriate Service Tracker.
- Prepare quotes for service repairs and customer invoices.
- Process all service invoices, including collecting past-due amounts.
- Communicate with clients to confirm the scheduling of their service and log final dates.
- Coordinate with clients to secure a point of contact for on-site service, ensuring efficiency and safety.
- Partner with the parts department to complete the equipment and parts acquisition process, verifying availability of parts for quality and timely service calls.
- Act as a liaison between customer and office, promoting company products and services.
- Effectively communicate top-level escalations to the Service Manager.
Requirements
- A high school diploma or equivalent is required.
- Two or more years of related work experience in a dispatching or scheduling environment is preferred.
- An equivalent combination of education, training, and experience will be considered.
- Experience in telephone and email/ticketing system-based customer support is preferred.
- Proficient computer skills, including using MS Outlook, Word, and Excel, are preferred.
