About the Role
The Service Clerk position performs general clerical functions in support of an assigned service department in a manner that reflects the company's vision of working as "One Professional Team." Depending on the individual department, the Service Clerk will perform some or all of the functions listed below. Position is opened to share responsibilities between Production and Truck Shop.
Responsibilities
- Opens, tracks, and inputs data into work orders
- Maintains records, logs, and files
- Documents approval/disapproval of repairs
- Enters and maintains expenses of work performed, where appropriate
- Reconciles and pays bills
- Creates, reviews, and distributes reports to support departmental operations and decision-making
- Creates, checks, and mails invoices
- Enters and maintains expenses into database systems
- Enters timecard data and submits weekly labor hours reports
- Reviews Work In Progress (WIP) reports to assure jobs are staying open no longer than needed
- Assists with entering data and reconciling P-Card and cash expenses
- Assists Service Manager with compiling operational data and supporting forecasting activities
- Assists with tracking and reporting department performance metrics, labor utilization, and work order activity
- Reviews reports and identifies discrepancies, missing information, or trends requiring management attention
- Performs various administrative tasks
- Receives customer calls and walk-in customers, obtaining all pertinent information needed to assist them
- Interfaces with and assists other employees to assure jobs are performed in an effective and timely manner
- Communicates discrepancies or problems with job to appropriate person
- Other duties as assigned by manager
Qualifications
- High School Diploma or GED
- 1-3 years administrative/clerical experience
- Associate's degree in Computer Science, Management Information Systems (MIS), Information Systems, Data Analytics, Business Analytics, or a related field preferred
Skills
- Data Entry, telephone, reading/writing, reasoning, organizational, communication & math skills
- Ability to compile, organize, and analyze operational data to support management reporting and forecasting activities
- Basic knowledge of Microsoft Word and Excel
Pay
$17.51-25.95 per hour. Pay rate is based upon experience and education.
