  • Must be able to follow detailed instructions and communicate effectively both orally and in writing
  • Must be organized and able to work to specified deadlines
  • Able to work on computer(s) for long periods of time in an office environment
  • Must exhibit patience and tact in dealing with employees
  • Review and analyze actions at the end of each day, week, month, and year to determine how to better utilize time and plans more effectively
  • Understand the dealership's terminology and methodology
  • Follow lawful directions from supervisors
  • Understand and follow work rules and procedures
  • Uphold the company’s non-disclosure and confidentiality policies and agreements
  • Work evening, weekend and holiday work hours as required
  • Receipt monies accurately and be able to reconcile transactions at the end of each day
  • Must be able to multitask i.e. answer phones & receipt monies etc.
  • Answer phones in a friendly and timely fashion
  • Set appointments accurately

Job-Specific Expectations

  • Add new material to file records, and create new records as necessary
  • Answer questions about records and files
  • Assign and record or stamp identification numbers or codes in order to index materials for filing
  • Eliminate outdated or unnecessary materials, destroying them or transferring them to inactive storage according to file maintenance guidelines and/or legal requirements
  • Find and retrieve information from files in response to requests from authorized users
  • Keep records of materials filed or removed, using logbooks or computers
  • Perform periodic inspections of materials or files in order to ensure correct placement, legibility, and proper condition
  • Design forms related to filing systems and scan or read incoming materials in order to determine how and where they should be classified or filed
  • Perform general office duties such as typing, operating office machines or online systems, and sorting mail
