Essential Functions
- Aids personnel in various aspects of the business, including Service Dept, Accounts Payable & Accounts Receivable Dept, and provides administrative support to Plbg and HVAC Mgrs.
- Handles all phone and email communications with customers, contractors, suppliers, etc...
- Maintains and updates accurate spreadsheets in Excel, demonstrating proficiency in data entry.
- Prepares necessary reports and enters data into reports like Work In Progress, to assess project profitability, performance against budget, and other relevant matters.
- Prepares service billing work orders and purchase orders, and posts payments to correct accounts.
- Collaborates with Project Managers to suggest accounting procedures that enhance efficiency and effectiveness, including recommending new technology solutions.
- Follows up on outstanding issues and resolves payment discrepancies with customers.
- Follows up on customer requests and procedures.
- Assists in dispatching service calls when the dispatcher is unavailable or on lunch break.
- Conducts job cost analyses.
- Submits warranty claims.
- Supports mass communications to customers.
- Participates in software release processes.
- Gathers, maintains, and audits information in the database.
- Utilizes all support tools as directed.
- Communicates customer feedback to management staff as appropriate.
- May be asked to assist in other support areas.
- Reviews and contributes to system and training documentation.
- Performs other duties as assigned.
Qualifications
- A self-starter with strong communication skills and customer service etiquette.
- Accuracy and attention to detail in handling numbers.
- Extremely organized with proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint).
- A construction and mechanical services background is preferred but not required.
