About the role
The Service Associate – Client Support plays a crucial role in delivering exceptional administrative support to the financial advisory team and ensuring a seamless client experience. This position focuses on supporting clients through various tasks such as answering inquiries, scheduling appointments, processing transactions, and maintaining accurate client records.
Responsibilities
- Serve as an initial point of contact for clients, addressing inquiries and providing timely responses via phone and email
- Aid in scheduling and coordinating client appointments, ensuring all logistics are handled efficiently and accurately
- Handle client requests, including transactions and paperwork, in accordance with firm policies and procedures
- Support the onboarding process for new clients, ensuring a smooth and positive experience
- Collaborate with custodians and internal teams to resolve client account issues, transfers, and other service requests
- Provide notary services for client transactions as required
- Maintain up-to-date client records and ensure accuracy and consistency across internal systems
Qualifications
- 2-5 years of experience in a client-facing administrative role within the financial services or related industry
- Bachelor’s degree preferred; high school diploma or GED required
- Strong communication skills with the ability to establish rapport with clients and colleagues
- Experience with CRM systems and basic financial software (experience with custodial platforms is a plus)
- Familiarity with financial services industry practices, with knowledge in processing account transactions or client service inquiries
- Strong attention to detail and accuracy in handling client records and transaction-related documents
- Ability to multitask and manage competing priorities in a fast-paced environment
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
