Senior Specialist, Information Management Submissions

The Senior Specialist, Information Management (Submissions) is responsible for managing third-party drawing management resources, document management database administration, project folder management, and concurrent engineering coordination.
Responsibilities
- Third Party Drawing Management Services
- Coordinate with third-party firms to manage drawing management efforts.
- Ensure third-party adherence to company drawing standards and timely task completion.
- Serve as the primary contact for third-party drawing management resources, tracking progress, answering questions, and resolving issues.
- Develop and maintain a system to track progress of third-party efforts.
- Perform spot checks to verify drawing management accuracy and ensure comments are properly addressed.
- Document Management Database Tenant Administrator
- Manage the structure, maintenance, and governance of the company-wide document control program and database, including vendor and user management.
- Ensure hierarchy of the database is maintained and adhered to.
- Train employees and external contractors on the drawing management process by company standards.
- Serve as technical lead for enhancements within the technical document database.
- Provide technical support to users and oversee ticket requests related to user management and technical issues.
- Project Folder Management
- Coordinate with Engineering Service Providers to establish Meridian project folders and provide access to project-specific drawings.
- Confirm all required drawings have been submitted by Engineering Service Providers to close out Meridian project folders.
- Concurrent Engineering Coordination
- Communicate with engineering firms when concurrent engineering is underway at facilities.
- Ensure concurrent engineering changes, maintenance redlines, MOC updates, and other drawing revisions are incorporated into the final project drawing package.
- Resolve drawing conflicts between multiple projects to ensure a single, accurate drawing of record is maintained.
- Other Responsibilities
- Gather drawings for employees or engineering firms as assigned.
- Perform drawing package submission into the document management system as assigned.
- Review engineering drawings against standards and provide feedback as assigned.
- Other duties as assigned.
Requirements
- Associate’s Degree required.
- 10+ years of related experience.
- Strong analytical and problem-solving skills.
- Strong background in document control processes.
- Familiarity with reviewing engineering drawings.
- Experience with Microsoft Office products.
- Excellent communication and stakeholder engagement skills.
- Travel Requirements: Up to 10% travel possible.
Preferred Skills
- Bachelor’s degree in engineering.
- Proficiency using Meridian as a document management system.
- Pipeline & terminal industry knowledge and experience.
Physical & Safety Requirements
- Continuously operates a computer and other office productivity equipment (e.g., calculator, copy machine, and computer printer).
- Frequently required to communicate effectively with others.
- Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
