Job Description

The Senior Records Specialist provides advanced support and serves as a subject matter expert in maintaining student records within their specialized area of expertise. This role offers comprehensive statewide support on state and federal guidelines, resolves complex issues, and aids in the development and training of front-line staff. Additionally, the Senior Records Specialist is responsible for unique processes such as graduation certification, reactivation of historical records, and transfer/articulation of credit, ensuring compliance with institutional policies and regulations.

Essential Functions

  • Demonstrate TSTC Core values of Excellence, Accountability, Service and Integrity with internal and external stakeholders, customers, students and members of the community.
  • Serve as a subject matter expert in a specialized area, providing advanced support for maintaining student records within their field of expertise.
  • Provide comprehensive statewide support on state and federal guidelines regarding student records maintenance and resolve complex issues related to student records.
  • Aid in the development and training of front-line staff, ensuring they are knowledgeable about procedures and compliance requirements.
  • Accountable for unique processes such as reactivation of historical records, duplicate management, transfer/articulation of credit, and rectification of edits from the Texas Higher Education Coordinating Board and National Student Clearinghouse/National Student Loan Data System.
  • Perform internal statewide quality assurance procedures to maintain the integrity and accuracy of student records.
  • Utilize various online platforms to maintain accurate academic records and support the testing and implementation of new software that impacts records management processes.
  • Possess a thorough understanding of college policies, procedures, and requirements, and effectively communicate them to the college community and stakeholders.

Requirements

  • May be required to take National Student Clearinghouse Training or Texas Higher Education Coordinating Board Reporting training due to responsibilities.
  • Exceptional experience may be considered in lieu of educational requirements 3 years of experience in student records management, higher education, or a related field.

  • Online Applications: Proficiency in using and implementing online applications for record-keeping.
  • Subject Matter Expertise: Advanced knowledge in specialized areas such as graduation certification and credit transfer.

Residency Requirements

Understanding of residency requirements and ability to provide guidance.

Policy Communication

Ability to communicate college policies and procedures effectively.

Quality Assurance

Skills in performing quality assurance procedures.

Education/Experience/Knowledge/Skills

  • Associate's Degree Required, Bachelor's Preferred.
