About the role
Perform in a senior level capacity to create and maintain a professional image of the company by providing prompt, courteous and efficient service to visitors, guest employees, telephone callers, taking and relaying messages and performing various light administrative duties.
Responsibilities
- Front of House / Office Support
- Reception & Client Engagement
- Welcome visitors with professionalism and warmth to ensure a positive first impression.
- Manage incoming emails with discretion, accuracy, and confidentiality.
- Visitor Management
- Efficiently check in guests, issue badges, and notify hosts without delay.
- Enforce visitor protocols to uphold security and hospitality standards.
- Conference & Meeting Support
- Prepare meeting spaces for both small and large gatherings, ensuring readiness and alignment with event requirements.
- Confirm room setups meet specifications, including seating arrangements, A/V functionality, and required materials.
- Catering & Hospitality
- Coordinate catering orders based on meeting objectives and dietary needs.
- Monitor delivery timelines, validate setup quality, and reconcile related invoices.
- Technology Assistance
- Confirm functionality of audio, video, and connectivity prior to meetings.
- Address and resolve minor technical issues to prevent disruptions.
Qualifications
- High school diploma.
- Experience working in a Headquarters environment preferred.
- 8+ years of experience as a receptionist in a busy switchboard environment preferred.
- Type 40 wpm.
- Flexible to work hours between 7:00 AM and 5:00 PM (normally an eight-hour shift).

- Basic clerical and secretarial skills.
- Ability to handle high volume telephone calls.

Working Conditions, Mental and Physical Demands
Typically, an office environment with adequate lighting and ventilation, and a normal range of temperature and noise level. Work assignments are diversified. Interpret, comprehend and apply complex material, data and instruction; prepare, provide and convey diversified information.
Minimal physical effort required. Work is mostly sedentary but does require walking, standing, bending, reaching, lifting or carrying objects that typically weigh less than 10 lbs. (e.g., papers, books, files and small parts, etc.). Moderate dexterity; regular application of basic skills (calculator, keyboard, hand tools, eye/hand coordination).
