Senior Real Estate Servicing Specialist - Documents
About the role
The Senior Real Estate Servicing Specialist (Documents) at FourLeaf is responsible for managing and processing documentation related to paid off loans, responding to legal requests, and serving as a liaison with title companies. This role requires advanced analytical skills, exceptional attention to detail, and the ability to manage high-risk, time-sensitive information with discretion and accuracy.
Responsibilities
- Lead the coordination and retrieval of custodial documents for paid-off loans, ensuring timely delivery, accuracy, and proper distribution to internal teams or members.
- Serve as the escalation point for complex documentation issues, providing expert guidance and resolution strategies.
- Conduct advanced research and resolve complex title defects, such as breaks in chain of title, missing assignments, CEMA-related discrepancies, and other issues impacting insurability.
- Collaborate with internal and external stakeholders to ensure compliance with regulatory and investor requirements.
- Act as a liaison for miscellaneous requests, including Partial Releases, Easements, and ARM Resets. Gather required documentation, maintain clear communication with members, and work closely with internal teams to support timely and accurate decision-making.
- Manage the Real Estate Oversight email inbox by responding promptly and accurately to escalated inquiries and documenting all actions in MemberConnect and/or Cenlar Case Management. Contact members directly when appropriate.
- Serve as the primary point of contact for title companies, fostering strong working relationships to support efficient document exchange and issue resolution. Ensure timely communication and accurate handling of all title-related matters impacting loan servicing and member transactions.
- Handle member requests promptly and effectively to support a seamless and positive member experience. Monitor incoming requests, prioritize appropriately, and coordinate follow-up actions to support resolution and satisfaction.
- Perform scanning and indexing of documents to ensure accurate digital recordkeeping and easy retrieval within the document repository.
- Aid with various tasks outside core responsibilities as directed by management, contributing to overall team efficiency and adaptability.
- Provide guidance, mentorship, and support to junior team members when appropriate.
Requirements
- A high school diploma or GED.
- 3-5 years of progressive experience in lien release processing, mortgage servicing, and resolving complex title issues.
- Licenses: Must have a notary license or be willing to obtain one.
- Computer Skills: Proficiency in Microsoft Office & Adobe.
