About the Digital & Innovation Tech Team
Our AI, Generative Engine Optimization (GEO), and social media teams are growing and are in high demand across the agency. To keep them focused on doing great work for our clients, we’re looking for a Senior Project Manager to help build a clear intake process, realistic timelines, and smart capacity tracking.
About Project Management
Our Project Managers are the operational heart of our team, ensuring specialized workstreams run efficiently, transparently, and without burnout. At the Senior Project Manager level, you act as both a workflow architect and a governance anchor—protecting specialist bandwidth, customizing intake frameworks in Monday.com, and serving as the central traffic manager across high-demand internal capability hubs.
Responsibilities
- Process & Tool Customization
- Workflow Optimization: Partner directly with the Project Management Lead to review, edit, and customize existing agency Monday.com workflows, boards, and automation recipes to seamlessly support the Innovation Tech/GEO and Social CoE teams.
- Intake Refinement: Adapt and maintain existing intake forms and standard operating procedures to ensure all incoming AI/GEO and Social CoE requests are properly scoped and routed.
- Continuous Improvement: Continuously evaluate tool performance, gather feedback from technical and account leads, and make updates to keep our project tracking lean and effective.
- Traffic, Routing & Pipeline Governance
- Gatekeeping & Intake Triage: Act as the primary operational buffer for specialized talent, redirecting ad-hoc requests into formal Monday.com queues, clarifying vague briefs with account teams, and setting realistic priority levels.
- Capacity Routing & Bandwidth Protection: Intelligently allocate and route approved work to developers, AI leads, and social strategists based on live capacity—safeguarding specialists from overload and unmanaged task switching.
- Pipeline & Milestone Tracking: Log, schedule, and track all projects from briefing through final delivery using Monday.com, facilitating regular status huddles and holding teams accountable to milestone deadlines.
- AI & Workflow Automation
- Process Innovation: Actively experiment with and leverage AI tools, Monday.com automations, and platform integrations to streamline project management workflows, speed up intake processing, and improve team velocity.
- Agency Process Coaching: Onboard and educate account teams on how to properly brief, request, and collaborate with the Innovation and Social CoE hubs.
- Transparent Status Reporting: Deliver clear, actionable status updates to internal account leads and executive leadership regarding project health, risks, and queue timelines.
Requirements
- 5-7+ years of progressive project management within a fast-paced creative, PR, or digital marketing agency environment.
- Demonstrated experience customizing, refining, and scaling existing project management platforms and intake workflows in agency settings.
- Proven track record of working directly alongside developers, technical leads, and creative engineers—understanding technical terminology, developer workflows, and technical scope translation.
- Practical experience or high enthusiasm for sourcing, implementing, and leveraging AI tools and advanced platform integrations to automate project management workflows and eliminate repetitive admin tasks.
- Broad operational understanding of modern digital marketing ecosystems, including social media execution pipelines and emerging AI search/tech concepts (e.g., Generative Engine Optimization / GEO, prompt-based workflows, LLM search behaviors).
- Strong proficiency in Monday.com architecture, including editing custom intake forms, managing automated task-routing recipes, and building clear dashboard views. Experience with third-party integration tools like Zapier or Make is a plus.
- Exceptional communication and active listening skills, with a proven ability to engage internal account teams and clients, truly understand their underlying needs, and keep everyone aligned with clarity, empathy, and diplomacy.

Pay
Hourly: $55 to $60/hour
Full-time salary: $75,000 - $89,000
Schedule
We believe that our best work happens in a hybrid working environment. If you are in the NYC (or commutable surrounding distance) hub, we want to see you in person 2 days a week. That could mean in our office, in our client's office, on the road with them, or attending an industry event. For those outside the NYC hub, you will be asked to be in person for client meetings, events, or team meetings. There will also be in-person opportunities for you to connect with others who live in your hub to collaborate and work together.
