Core Responsibilities
- Own project timelines, workbacks, and cross-functional alignment across all active projects; analyze project risk and partner with leadership to navigate scope or timeline changes
- Run the weekly all-project status meeting and daily cross-functional standups between strategy, creative, and production; distribute agendas ahead of each meeting and ensure next steps are documented and communicated
- Complete internal program setup using Asana, Drive, and Slack per TH's SOP; keep Podio current throughout the full project lifecycle as our source of truth
- Facilitate smooth client onboarding and manage all operational client communication — status updates, timeline confirmations, scope clarifications, recap emails, and meeting agendas — in accordance with TH's SOP and standards
- Track hours versus scope in real time and surface overages same-week to leadership, operations, and production leads; ensure leadership has visibility into project financials including margin risk and scope creep (budget governance sits with Operations)
- Own the change order workflow end to end — tracking all budget and scope changes from draft to client approval to Podio documentation
- Lead monthly Key Learnings sessions with cross-functional teams. Review outcomes, achievements, challenges, and project performance against initial objectives. Identify successful strategies and areas for improvement
- Ensure proper project closure: final documentation, archived assets, financial reconciliation handoff to Operations
- Conduct project post-mortems and recaps with internal teams and, where appropriate, with clients
- Partner with the Chief Creative Officer on identifying renewal and growth opportunities, then hand off into the strategic relationship layer
- Capture patterns from project performance and surface them to leadership to inform agency-wide process improvement

RAMP UP AND EXPECTATIONS
- We are in a growth phase and moving quickly. This role is expected to be in motion on real work from day one. Immediate. Take ownership of assigned active projects under close partnership with the VP of Client Experience.
- First 30 Days. Lead projects with appropriate oversight. Get fluent in our current operational rhythm, and our active pipeline. Begin contributing to RFP hours estimation and weekly status reporting. Identify the top points to address in the next phase.
- First 90 Days. Operate as the primary owner of project lifecycle across assigned accounts. Establish weekly project status reporting cadence to leadership. Launch monthly Key Learnings sessions. Be actively contributing to systems and innovation rollouts assigned by leadership.
Who You Are
- An experienced project manager who has worked in an agency, production, and/or events environment. You understand what it means to manage multiple complex projects simultaneously.
- Organized, proactive by default, and comfortable holding accountability across a team.
- 8+ years of program or project management experience, ideally in experiential or events
- Proven track record managing multiple concurrent projects from brief through delivery
- Strong project management tool fluency required. Experience with Asana strongly preferred
- Fully fluent in scope management: estimates, assumptions docs, change orders, hours-versus-scope burn
- Comfortable reading budgets and surfacing financial signals (margin risk, scope creep) to leadership, without owning budget governance
- A clear, structured communicator (written and verbal) with both internal teams and external clients
- Comfortable operating in a lean, fast-moving environment where structure is being built, not inherited
- A collaborative disposition: you lead through influence, not hierarchy
- A high attention to cadence and follow-through. You close loops and you notice when others don’t
