About the role

We are seeking a Senior Project Coordinator who will support our NYS client. The Project Coordinator will support a PeopleSoft HCM Time and Attendance implementation by coordinating deliverables, documentation, schedules, meetings, testing activities, and project controls across a distributed public-sector team. This role is responsible for maintaining accurate acceptance evidence, version control, status reporting, risk and issue tracking, change control, UAT logistics, and knowledge transfer records to help keep the engagement organized, auditable, and on schedule.

Responsibilities

  • Assemble and maintain acceptance packages for each project deliverable, including supporting evidence, traceability to acceptance criteria, signature routing, and approval records.
  • Track deliverable status against the 52-week project schedule and escalate schedule slippage, dependencies, and potential impacts to the Project Manager.
  • Manage document and version control across the engagement to ensure stakeholders consistently work from the current approved version of each artifact.
  • Coordinate meetings across a large stakeholder group, including scheduling, agendas, accurate minutes, action items, owners, and due dates.
  • Maintain risk, issue, decision, and action logs and proactively follow up on open items through resolution.
  • Administer change control documentation, including requested changes, approvals, and impacts to project scope or schedule.
  • Prepare the weekly status report using inputs from the Project Manager and consulting team.
  • Coordinate user acceptance testing logistics, including test cycle scheduling, test case and result tracking, defect log administration, and retest status.
  • Track knowledge transfer artifacts throughout the engagement to maintain a complete record of transferred information and materials.
  • Track consultant hours against deliverable percentages and end-of-project support hours and provide current utilization information to project leadership.
  • Coordinate consulting team onboarding logistics, including VPN and project environment access requests.

Requirements

  • 6+ years of overall project coordination.
  • 4+ years of coordinating IT implementation projects or providing equivalent PMO support.
  • Experience supporting deliverable-based or milestone-billed contracts, including assembling evidence for formal client acceptance.
  • Demonstrated document and version control discipline in a client-facing project environment.
  • Experience supporting meetings at pace, including agenda preparation, accurate minutes, and action tracking across stakeholder groups of a dozen or more participants.
  • Experience maintaining risk, issue, and decision logs on active projects and proactively following open items to closure.
  • Working proficiency with a scheduling tool such as Microsoft Project, as well as Microsoft Excel and a collaboration platform such as SharePoint or Microsoft Teams.

Qualifications

  • New York State agency or public authority project experience, including familiarity with public-sector approval and sign-off processes.
  • Exposure to PeopleSoft or another ERP/HCM implementation and the ability to follow technical and functional vocabulary during design sessions.
  • Experience coordinating user acceptance testing, including defect log administration and retest tracking.
  • Experience supporting HR, payroll, or time and attendance projects.
  • CAPM, PMP, or progress toward either certification.
  • Familiarity with OGS Project Based IT Services (PBITS) or similar state contract vehicles.
