Job Summary
Hybrid Work Environment - Must reside on Oahu
Pay Range: $53,000 - $99,000, position is eligible for an incentive bonus
Note: Individuals typically begin between the minimum to middle of the pay range
About the Role
Assists AMS department executives in leading the coordination of departmental and cross-functional resources for a wide range of impactful employer events, external activities, and projects.
Responsibilities
- Supports department executives with responsibility for overall development, implementation, long-term planning, and evaluation of event and project requirements to ensure the highest external impact and efficient use of HMSA resources.
- Proactively identifies business enhancement and improvement opportunities, providing recommendations to management when appropriate.
- Analyzes, generates and recommends solutions and leads and oversees others on activities related to employer events and operations projects.
- Generally handles complex assignments with external impacts as assigned by department executives and directors in support of the department's business objective.
- Affords administrative support for department executives including reports required for departmental data and statistics needs, as well as administrative support in the areas of human resource functions, maintaining calendars, and assisting in meeting executive management's day to day needs.
- Deals with sensitive/confidential material and many personalities in a fast-paced, multi-task environment.
- Captures and coordinates general flow of internal and external visitors, telephone calls, and correspondence for executive management staff.
- Evaluates effectiveness of policies and procedures to improve workflows and efficiency.
- Captures and coordinates postmortem activities with each project including customer surveys and internal documentation.
- Identifies process improvements opportunities, conducts cost/benefit analysis to prioritize and recommend solutions, and leads implementation efforts.
- Performs all other miscellaneous responsibilities and duties as assigned or directed.
Requirements
- Associates degree and four (4) years secretarial or administrative assistance experience; or equivalent combination of education and experience.
- Team lead experience or otherwise demonstrated leadership skills.
- Effective communication skills.
- Working knowledge of general office practices and procedures.
- Strong organizational skills.
- Effective interpersonal skills.
- Basic working knowledge of Microsoft Office applications, including but not limited to Outlook, Word, PowerPoint and Excel.
